Purchasing Assistant Qualifications

  • High School Diploma or Equivalent (minimum), Associates Degree preferred
  • General homebuilder/new construction purchasing experience/knowledge
  • Excellent communication and interpersonal skills through all forms of media
  • Ability to self motivate and complete tasks with minimal supervision (after initial training)
  • Strong organizational skills, must follow organizational directives
  • Ability to cold call and vet new vendors as well as maintain strong relationships with existing vendors
  • Strong understanding of general operating system software (Buildertrend experience a plus)
  • Proficient in Microsoft Word, Excel and Outlook (Vu360 experience a plus)

Purchasing Assistant Job Duties and Responsibilities

  • Assist with the processing of Purchase Orders
  • Enter and maintain current job databases
  • Organize subcontractor bids and assist with preparing budget items
  • Request pricing and follow up with vendors and suppliers
  • Ability to export and/or enter job cost analysis data, process reports and organize data as needed
  • Assist with sales and design team as needed to collect data regarding changes to initial homebuyer contract
  • Assist with Design Center to confirm products are current as well as maintain Design Center inventory database
  • Upload job information and files as needed into internal files and operating system
  • Assist with measuring plans and comparing to bids to confirm accuracy
  • General office and administrative tasks

  • Operate within local purchasing policies
  • Send purchase orders to vendors
  • Add new items to purchasing system
  • Assist in developing profitable purchasing strategies
  • Expediting of purchase orders under direction
  • Track the status of all purchase orders
  • Maintain address system in the purchasing system
  • Administer purchasing processes to assure correct transactions
  • Maintain proficiency in computerized purchasing/business systems;.
  • Getting quotes, purchasing materials, billing
  • Improve purchasing tools, processes and procedures
  • Create purchase orders of corresponding vendors/suppliers
  • Submit purchase orders and process merchandise returns
  • Assist the purchasing team with diversified administrative tasks
  • Transmit information to factories & purchasing services
  • Entering sales/purchase orders in a timely manner
  • Submit purchase orders to suppliers and transportation companies
  • Prepare purchase orders by verifying specifications and price
