JOB SUMMARY

Reporting to the CFO, the Resident & Administrative Coordinators primary responsibility is to provide resident billing services and administrative support to many aspects of the business at all levels of the operation. The Resident & Administrative Coordinator position operates as an internal and external customer support position that helps build, manage, and facilitate an excellent customer experience with our residents, their families, the board of trustees and staff. Critical thinking skills, and the ability to prioritize efficiently and identifying process improvement opportunities will be paramount in this role. This is a safety-sensitive position.

ESSENTIAL FUNCTIONS

  • Provides excellent customer service to residents and staff as they interact with the Financial Services Office
  • Creates admission records and prepares adjustments with census information in the Financial System to produce a daily census
  • Process billing transactions to prepare and create resident monthly statements
  • Responsible for monitoring timely collections (
  • Reconciles Resident Contract Settlements and Census with Marketing Reports
  • Processes and reconciles monthly entrance fee amortization from Resident Contracts
  • Prepares reconciliation of all month-end reports, including AR Aging and Revenue Tie-outs
  • Practice discretion and judgement in handling confidential and/or sensitive information
  • Develops and sustains a high level of professionalism and creates a positive experience among residents, staff, and the public
  • Sets up meetings among members of the Leadership team and other project-based meetings
  • Supports Human Resources, Financial Services and IT with various tasks as needed
  • Arranges travel and conference attendance details as needed
  • Purchases and handles inventory control of office supplies including leases and contracts for all office equipment
  • Provides a variety of services to residents and staff including, but not limited to, Notary Public, assistance with mail and packages
  • Coordinates executive communications, including taking calls, responding to mail and emails as well as interacting personally with residents and staff
  • Arranges various meetings, retreats and celebrations for staff and Board of Trustees; records meeting minutes and maintains the website
  • All other duties as assigned

  • Strong verbal and written communication in person, on phone and on PC

MINIMUM QUALIFICATIONS

  • Proof of COVID-19 vaccine is required as a condition of employment while the CMS regulation is in effect
  • High school diploma or GED is required
  • Working knowledge of accounting is preferred
  • Three or more years in a customer service-related position is required
  • Strong knowledge of standard office administrative practices and procedures
  • Excellent written and verbal communication skills is a must
  • Must be, or be able to become, a Notary Public
  • Computer literacy which includes, but is not limited to, Microsoft Office suite
