Program Coordinator
STATUS: Full time. Salaried. Exempt. 40 hour work week on average
DEPARTMENT: Youth Programs
REPORTS TO: Director of Operations & Strategy
DIRECT REPORTS: Designated Interns and Volunteers
SPECIAL CONDITIONS:
- Fingerprinting and background check may be required.
- Reliable transportation; current driver's license.
- Evening and weekend availability may occasionally be required for special events, trainings, community events, etc.
GENERAL DESCRIPTION:
The Program Coordinator focuses on providing program and administrative support services to all Foundation for Foster Children programs. Additionally, the Program Coordinator serves as an interdepartmental liaison ensuring the effective and efficient implementation of procedures, communication and data management between Youth Programs and the Finance & Administration Department.
RESPONSIBILITES (Include, but are not limited to):
PROGRAM SUPPORT SERVICES
- Provide information, referrals and linkages to assist youth in accessing services and resources.
- Follow-up on both pending and completed requests to determine next steps as needed.
- Coordinate with Finance & Administration Department on request payments and ongoing payments.
- Oversee all In-Kind Donation Intake and Outtake through the Foundation
- Support workshops/events for youth
ADMINISTRATIVE SUPPORT SERVICES
- Answer the phone, field calls and greet visitors upon arrival at the office
- Process mail, couriers and packages and serve as a liaison for IT, and facilities needs and services
- Maintain effective and cooperative relationships with community partners, other employees, vendors and the public.
- Maintain and manage office technology, such as the printer and postage meter.
- Delegate information received by the organizations email
DATA MANAGEMENT
- Maintain complete, accurate and updated records for each youth in Child Tracking Database
- Maintain complete, accurate and updated records of program expenses
- Maintain documentation of interactions in appropriate databases
- Ensure all invoices are properly forwarded to Finance & Administration Department
- Clean data by looking for consistency across spreadsheets and updating records as necessary.
- Maintain organized system for the collection of late, missing requirements.
- Assist in gathering and organizing data to be used in the completion of program reports
- Assist with dashboards for all programs
MISCELLANEOUS
- Attend meetings as requested by the Director of Programs & Operations and Finance & administration Director
- Other duties as may be assigned by the leadership team,
EDUCATION AND EXPERIENCE:
- Bachelor's degree preferred. Professional experience and education can be combined in lieu of degree.
- Minimum of 2 years professional experience utilizing data entry, collection, analysis, and program evaluation.
- Minimum of 2 years professional experience with Microsoft and Office Suite and other data management systems.
- General knowledge of non-profit industry.
- General knowledge of Metro Orlando's school and social welfare systems.
SKILLS AND ABILITIES:
- Strong organizational skills, ability to multi-task and prioritize tasks to meet deadlines.
- Demonstrated ability to work cooperatively with different types of people with varying personalities, development levels, ages, cultures, socioeconomic backgrounds and abilities.
- Demonstrated ability to communicate effectively in both written and verbal form.
- Demonstrated ability to maintain records and data to support effective evaluation processes and analysis and use program data to inform decision making and service delivery strategies.
WORKING CONDITIONS: The work is generally performed in the FFC offices, which are well lighted and adequately ventilated. The noise level in the working environment is usually moderate. Transportation to and from offsite locations may occasionally be required, which will result in exposure to temperature changes. Conditions at off-site locations will vary considerably.
PHYSICAL AND MENTAL REQUIREMENTS:
- Successful able to multi-task and problem-solve on a daily basis.
- High attention to detail.
- Able to receive constructive performance feedback from multiple sources.
- Long periods of sitting, working on a computer, entering and reviewing data, talking on the phone, working with office/computer equipment, sitting at desk or table while listening, talking and taking notes, walking to various work areas, going up and down stairs.
- Able to frequently lift and/or move up to 10 pounds, and occasionally lift and/or move up to 25 pounds.
