Job description
Work Schedule: Flexible - Approximately 25 - 40 hrs/week with flexible start and end times.
Effective Date: Immediately
Location/Executive: West Cobb Office/Brian Fox & Richard Tull
Scope/Purpose of the Position: To promote the growth and support the operation of Capstone Financial of West Cobb
Major Responsibilities and Essential Functions Include, but are not limited to:
- Represents the company in a professional and enthusiastic manner by providing an exceptional level of customer service.
- Adhere to our core values in all functions of their job responsibilities.
- Promote the company through social & professional affiliations/relationships/associates.
- Client servicing, appointment scheduling, client database/file management.
- Monitor emails/voice mails and initiate follow-up as needed.
- Answer incoming calls and handle issues as needed.
- Routes and answers issues and correspondence not requiring executive's attention.
- Open all incoming mail and process.
- Manage operational expenses and accounts.
- Investment and Insurance illustrations, comparisons, and presentations.
- Process insurance and investment product applications.
- Make hotel, airfare reservations, restaurants, etc. as needed.
- Composes and types letters, memorandums, and reports following prescribed format.
- Maintain client database software including Sales Force and Outlook.
- Create and prepare Excel spreadsheets and PowerPoint presentations.
- Manage office operations and perform general office tasks.
- Responsible for learning about the multiple services offered by Capstone Financial and articulate the benefits our clients enjoy to prospects and referrals.
- Other duties as assigned.
Knowledge, Skills, and Abilities:
- Self-motivated, independent, strong sense of initiative, and willingness to take ownership of projects/tasks.
- Willingness to improve on current processes to improve the effectiveness of our overall operation.
- Strong organizational skills with ability to attend to detail/accuracy.
- Ability to handle simultaneous projects, prioritize tasks, and meet deadlines.
- Possesses or willing to obtain advanced knowledge of Sales Force, Outlook, Excel, Word, Power Point, and eMoney.
- Excellent oral and written communicator.
- Outgoing personality with the ability to interact professionally with all clients, prospects, referrals, corporate staff, etc.
- Responsible for managing accounting including payables, receivables, bank account reconciliation, etc.
- Ability to plan, organize, schedule and direct work activities of office associates.
- Possess high level of integrity with the ability to maintain client confidentiality.
- Possess interpersonal skills to handle sensitive and confidential situations.
- Ability to perform complex administrative duties.
- Strong work ethic.
- Positive outlook.
Preferred Qualifications or Training:
- Investment and/or Insurance industry experience.
- Experience working in sales and/or sales support.
- Excellent communication skills.
- Strong Organizational Skills.
- Detail oriented.
- Advanced knowledge of Sales Force, Outlook, Word, Excel, Power Point, and eMoney.
Working Conditions:
- Flexible Hours
- Small office environment.
- Some driving required (bank, post office, office supply store, etc.).
- The position requires considerable organizational skills as well as concentration/focus and creativity. It is subject to stress caused by changing priorities, tight deadlines and varying workload.
