Job description

Position Summary


The operations manager is a key management position charged with maintaining and growing existing accounts and managing site managers in various locations. Manages one or more on-site facilities to include, but not limited to, mail, copy, and other administrative services in law firms and corporate accounts.


Essential Functions


1. Maintain effective written and oral communications with clients, employees, and the operations team.

2. Assists sales by going on joint appointments to meet with existing and potential clients.

3. Prioritize work and deploy staff as required to ensure customer needs are met in regards to on-time delivery of services and quality of work.

4. Manage the recruiting process.

5. Expands existing business, manages renewals, and oversees contract amendments.

6. Ensures all work standards are met on a consistent basis.

7. Manage the budget and control expenses effectively at assigned sites.

8. Ensures all work standards are met on a consistent basis by IST site employees.

9. Ensures that site managers accurately prepare and distribute management reports to the client in a timely and consistent manner.

10. Insures maximization of productivity through efficient use of standard operating procedures.

11. Develops new procedures to improve the operation of the sites and to lower operating costs.

12. Manages, trains and coaches site managers and develops a work environment that promotes high motivation and customer satisfaction.

13. Ensures the proper and safe use of all equipment used by employees.

14. May be required to assist in implementing new site start-ups outside of the home state.

15. May be required to travel to other locations outside of the home state to manage sites.

Job Requirements:

Education: College Degree or Equivalent.

Experience: Four-ten years of experience managing multiple and different law firm accounts

involving on-site, mail/copy operations.

Specific Skills:

1. Knowledge of Microsoft Office (Word & Excel) and familiarity with computer basics is preferred.

2. Ability to communicate both verbally and written with customers and other employees both one-on-one and during meetings.

3. Knowledge of supervisory techniques to manage, motivate and train employees.

4. Ability to prepare reports and present information to customers.

5. Must have attention to detail and critically think through and resolve problems.

6. Must have customer service skills and be able to maintain a consistent, high level of service.

7. Must have the ability to multi-task, manage multiple accounts and establish priorities.

8. Must have experience managing on-site, law firm accounts involving mail/copy operations.
