The Front Desk Representative will assist with patient flow and providing information within the clinic at the front desk check-in/out. Some of the required duties for the Front Desk Representative are; Chart activity maintenance, collect all data required for new patient registration, Answers phones, make appointments, and Collect Co-pays, outstanding patient balances, and surgery payments. This position will perform a variety of administrative functions with a focus on customer service. The Front Desk Representative is responsible for handling these duties in a manner reflecting the Mission, Values, and Customer Service philosophy of OrthoAtlanta LLC. This position is for our Immediate Care Clinic. Hours are Monday - Friday: Noon - 9:00 PM; Saturday & Sunday: 9:00 AM - 9:00 PM. Several shifts available; full-time and part-time with premium pay for weekends and holidays.


Job Responsibilities

  • Opening and closing the office
  • Ensure waiting area is always neat
  • Answering phones to include scheduling/following up appointments
  • Entering patient demographics into Athena
  • Create patient cases for other staff
  • Contact patients that show up on Cancellation/Reschedule Report from confirmation calls
  • Obtain case injury information
  • Complete Hospital census
  • Verification of insurance eligibility and benefits
  • Obtain and enter referral information
  • Check patient in and out
  • Obtain required forms (Registration, Health History, Third Party Liability, NPP, Consent and any imaging discs)
  • Schedule MRIs, CT Scans and Vascular appointments
  • Collect copays, prepayments and any outstanding balances
  • Send office notes and orders to outside facilities for authorization purposes
  • Enter charges from billing sheet
  • Collect TOS charges - make prepayment plans
  • Run surgery schedules for providers
  • Verify CPT codes
  • Add hospital consults and any surgeries to provider schedule
  • Reconcile billing to consult and surgery schedule
  • Close out and balance cash drawer; complete bank deposit
  • Balance daily transactions
  • Run day end review and billing summary; clear all pre-bill holds
  • Open mail; distribute to appropriate individual/team
  • Make barcodes
  • Have ability to communicate effectively (both verbal and written) with patient, physicians, and other teammates.
  • Reconcile daily viscosupplement charges with Motion MD report
  • Work buckets in Athena as assigned; including but not limited to Missing Slips, No Show, Reschedule
  • Additional task as assigned by the Practice Administrator
. Requirements:

Job Requirements

  • High School Diploma or equivalent
  • 2 years of medical office experience
  • Customer Service skills
  • Knowledge of medical terminology preferred
  • Experience with Athena a plus
  • Must be detailed oriented
  • Strong organizational and time management skills
  • Excellent verbal and written communication skill
  • Strong sense of discretion and professionalism
  • Strong multi-tasking skills
