Job description

Oversee and manage reception staff.

Assist in resolving any administrative problems; maintain front desk procedures.

Track budget and spending for directors.

Create and assist in the revision of systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; assist in implementing changes.

Assisting administration with operational needs as needed, such as chart auditing and processes.

Prepare and modify documents including correspondence, reports, drafts, memos and emails as needed.

Perform data entry and scan documents.

Maintain office supplies for facility.

Purchase medical supplies if needed.

Schedule and book travel arrangements for discharged patients when needed.

Submit and reconcile expense reports. Responsible for purchasing card.

Coordinate repairs to office equipment.

Set-up, maintain and retrieve general files for facility or department.

Manage and coordinate administrative programs and office activities.

Use computer software to create spreadsheets, manage databases and prepare presentations, reports and documents.

Answer telephones and take messages or transfer calls.

Attend meetings and take meeting minutes as necessary.

Calendar management, schedule appointments, update calendars and arrange staff meetings

Perform basic bookkeeping.

Perform other functions and tasks as assigned.
