Job description
Humphreys & Partners is a leading planning and design firm focused on projects in the multifamily, mixed-use and hospitality sectors in markets across the country. We are currently seeking an Administrative Assistant/CA Liaison to join our dynamic and growing team in Chicago. This candidate will both support the office in handling administrative tasks and also will interface most directly with colleagues, clients and consultants in coordinating tasks for projects in construction. This role is based in our Chicago IL studio, where collaboration, flexibility and inspiring views are part of our daily environment, overlooking the river and convenient to public transit. JOIN US!
Responsibilities of Administrative Assistant:
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department
- Provides administrative support to multiple Project Managers and Regional Director
- Coordinate travel arrangements for supported professionals and tracking travel expenses
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable
- Answers questions about organization and provides callers with address, directions, and other information
- Welcomes on-site visitors and announces visitors to appropriate personnel
- Sorts, and distributes incoming and outgoing mail, and maintains mail software updates. Prepares packages for FedEx and/or UPS shipments and fulfills supply orders for FedEx/ UPS.
- Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary
- Manage/maintains conference room schedule. Main contact to reserve conference rooms for staff meetings, interviews and other events.
- Arranges catering and staff lunches. Assists in planning office events
- Performs other clerical duties as necessary.
Responsibilities of CA Liaison:
- Maintain and distribute all incoming RFIs and Submittals to internal team and consultants
- Follow up with internal team and consultants on status of RFIs and submittals
- Consult with and report on construction-related issues with the architectural project team and consultants
- Maintain knowledge of current codes and practices
- Maintain favorable working relationships with clients, contractors, and CA department
- Attend OAC calls when required
- Report to Project Manager on a daily basis with updates

- Proficient in MS Office: Outlook, Word, and Excel
- Excellent interpersonal and time management skills
- Excellent written and verbal communication ability
- Ability to work independently and collaboratively in a team environment
- Positive and driven to succeed
- Ability to multi-task
- Bachelor's degree in architecture, construction, or a related field is beneficial, but not necessary
- Design or Construction Industry related experience (particularly housing, mixed-use or hospitality experience) is beneficial
- Newforma, Bluebeam, AutoCAD and/or Revit software experience is beneficial
