DESCRIPTION OF RESPONSIBILITIES
The project manager's primary responsibility is the positive financial management of project sites, including management of effective billing, positive cash flows, timely receivables, procurement of subcontracts and organization/scheduling of subcontractors, scheduling of the project and engineering/field labor, proactive management of the client, and completion of the project profitably. The project manager will share time between project sites and office work. The position expected weekly work hours are 40 hours, generally 8A-5P Monday through Friday, but potentially changing on a project to project basis.
* Hold accountability for the complete and accurate installation and successful positive cash flow and profit for the completion of the project.
* Create and maintain a project schedule.
* Create a project schedule identifying the key timelines for a project, including project start, application engineering labor, submittal date and approval, subcontractor labor, field labor, major physical areas on project and timelines, billing dates, substantial completion, training, and project completion.
* Update project schedule on a monthly basis to support labor forecasting and accurate billing.
* Provide appropriate and accurate bills per the billing schedule.
* Develop a schedule of values that appropriately eliminates company financing of the project.
* Understand the approval chain and approval dates to eliminate cut bills.
* Create bills on the appropriate dates and contact prime contractors to maintain bill awareness.
* Follow up on cut bills and approval on bills throughout the contract chain.
* Verify receipt of payment and monitor accounts remaining receivable for delays in bill processing.
* Participate in internal turnovers for projects.
* Research and understand all aspects of the project documentation, including but not limited to mechanical and electrical drawings, plans and specifications, and other pertinent data.
* Review sales quotation, including purchase order or contract for applicable project requirements.
* Identify all members of the contracting chain and establish communication with each, including mechanical contractor, general contractor, and design engineer.
* Meet with sales engineer and application engineer to discuss/confirm and correct any potential issues in scope between the sales proposal and the requirements as identified on the contract documents.
* Meet with application engineer and field engineer to explain the project to operations, clearly identifying all scope issues, contract chain, impact to company as a whole, potential change orders and difficult or out of the ordinary concerns, and project schedule.
* Procure and manage subcontractors for the installation of the project.
* Utilizing pre-bid proposals from sales, or developing key subcontract relationships, procure a subcontractor for the installation of the project.
* Utilize the standard sub-contract document and express the project requirements in detail within to bind the subcontractor to the appropriate scope of work.
* Establish a billing schedule and collect and approve subcontract bills as appropriate.
* Verify installation on a set schedule and ensure subcontractors are working as needed, on schedule, and with positive effect for both company and the subcontractor.
* Procure panel subcontract once submittals have been approved.
* Maintain the operations on projects.
* Provide project schedule to the appropriate field and application engineering staff.
* Follow up on execution of work from the individual departments.
* Ensure individual department schedules are appropriate and on time for meeting the project schedule.
* Verify engineering submittals and field operations installations are remaining on scope.
* Review engineering submittals and engineering project log for accuracy, budget, schedule maintenance, and scope awareness.
* Review field operations checkout notes and progress for accuracy, budget, schedule maintenance, and scope awareness.
* Coordinate engineering submission, start-ups, training, substantial completion, and project closeout.
* Attend project meetings for updating the customer and other contractors on the project and staying aware of project conditions.
* Maintain the percent complete report for a given project.
* Review hours budgets with the individual departments. Follow and track time usage on the projects and identify positive or negative overages as quickly as possible.
* Provide accounting with appropriate monthly percent complete for all projects.
* Ensure monthly bills reflect expected percent complete on each project.
* Actively seek and manage change orders.
* Be cognizant of work outside of scope, and present potential change orders for the execution of that work.
* Maintain an accurate assessment of all work outside of scope. Coordinate with sales engineer on which opportunities represent work that needs to be billed for, and that which may be sacrificed for an alternative reason.
* Continually discuss and understand all labor activities on the project to assess the potential for any work outside of scope.
* Create a project log and documentation trail.
* Provide updates to the prime contractors on completion of work.
* Maintain project schedule and keep all contractors informed of upcoming tasks.
* Be proactive in making all contractors aware of problems or issues that arose and the resolutions or items that remain to be resolved.
* Note interference issues from other contractors.
* Understand the scope of your project.
* Know the hours allotted to you, as well as those hours allotted to all personnel on your project.
* Read through and understand submittals, mechanical drawings, specifications, and other pertinent project details.
* Look for potential change orders.
* Participate in the quoting and selling of new work on a project.
* Actively assess the viability of the project as a whole, including the performance, accuracy per the plans and specifications or design build program, and address concerns proactively.
* Perform responsibilities with respect for self and company.
* Arrive to project sites and meetings on time.
* Dress appropriately.
* Maintain vehicle according to company policy.
* Follow up all phone calls and emails within 4 business hours.
* Keep to project and personal safety guidelines.
* Treat and manage subordinates with respect.
* Communicate effectively.
* Communicate daily with all active labor on your projects, including sub contractors, field operations personnel, and application engineers.
* Check in with customers every day upon arriving on the job site, setting expectations of what is intended.
* Check in with customers every day upon leaving the job site, explaining what was accomplished and what the client would like to see resolved.
* Maintain strong communication with sales engineer, providing updates and coordinating sales visits to the project for continued sales support.
GOALS AND DIRECTION
* Learn to identify key personnel on the project, at all levels of the contracting chain. Learn to establish appropriate relationships with all parties to improve communication effectiveness.
* Understand how to read specifications, mechanical drawings, submittals, and other project specific documentation.
* Understand the payment and billing structures in contracting, including percent complete accounting principles, billing structures, accounts receivable, and cash flow.
* Manage your project efficiently and effectively. Know how many hours remain. Keep a running punchlist.
* Learn to manage and control subordinates on your project.
