Job description

Thompson Thrift is seeking a Full-Time District Manager to work remotely for the corporate office in Indianapolis, IN. As the District Manager, you will be responsible for the overall performance of their assigned property portfolio within the assigned geographic market, including its finances and aesthetics along with resident relations.

The District Community Manager is also responsible for mentoring, training and supporting the local team by driving portfolio profitability and ensuring that all goals align with company and community goals. The District Community Manager's schedule includes regular visits and working hours based on the needs of the community and the directive of the Regional Community Manager.

Duties and Responsibilities

PRODUCT MANAGEMENT

Ensure Maximum Occupancy

Inspect property regularly to ensure all aspects of the property and curb appeal meet Thompson Thrift Residential standards. Give the community curb appeal in a way that is enticing to client traffic and exceeds the neighborhood market.

Inspect aged and/or selected vacancies on a weekly basis to monitor upkeep and ensure TT Residential make-ready standards are being met. Monitor occupancy; advise Regional Community Manager of any problem areas/floorplans.

Personally, oversee the details of apartment turnarounds and contractor work. Ensure compliance with Thompson Thrift Residential policy of 7-day (5 business days) apartment turnaround.

Maintain and update Status Board, Ready Board, and On Notice Board, if applicable.

When appropriate and/or necessary the District Manager will assist in leasing responsibilities.

Oversee outside marketing to major employers on a weekly basis.

Ensure TT Residential Policy and Procedures are being maintained.

Coordinate the preparation of and submit the appropriate marketing reports as requested by Regional Community Manager including but not limited to the following:

Weekly traffic reports

Weekly occupancy reports

Monthly financial explanations

Market Surveys

Control Expenditures

Operate within budget parameters. Seek approval for all budget deviations.

Inspect and/or approve carpet, vinyl, and wallpaper replacement. Consult with Regional Community Manager on any repair or replacement over $2,000.

Under the supervision of the Regional Community Manager solicit competitive bids as needed for major contract work.

Initiate and control administrative expenses office supplies, legal fees, etc.

Ensure compliance with company accounting procedures including but not limited to the following:

Maintain expenses within 10% of budget

Proper use of account codes

Accounts payable procedures

Monitor and control overtime.

Maintain the community in a clean and attractive condition while keeping within budget guidelines.

Consult with Regional Community Manager on plans for capital expenditures.

Oversee petty cash expenditures and reporting.

Maximize Income

Ensure income is documented and accounted for in accordance with TT Residential Policy

Maintain collections above 99.5%

Assure collections are performed in accordance Thompson Thrift Residential policy and local regulations:

Late fees charged and late letters to resident the first day after the grace period ends

Eviction notice if rent is still unpaid

Court appearance if necessary to process eviction filing

Review marketing/leasing activity with on-site staff on a weekly basis. Inform Regional Community Manager of any problem areas.

Monitor occupancy rates according to floorplan

Recommend any rent and renewal increases to Regional Community Manager

BUSINESS MANAGEMENT

Create annual operating budgets and review monthly financials with Community Manager.

Analyze monthly performance and budget projections, discuss strategies with Regional Community Manager, and communicate to Owners/Partners as needed or requested.

Keep abreast of the market conditions in your area. Shop the competition. Report rent/concession fluctuations to the Regional Property Manager.

Continually enhance knowledge/expertise through publications, reports, and seminars.

Develop short-/long-term goals for business management, through weekly staff meetings to discuss with on-site staff the prevailing conditions of the market. Communicate any strategy changes for the coming week.

SUPERVISION OF STAFF

Manage, train and counsel on-site staff. Consult with Regional Community Manager regarding special circumstances or problems.

Conduct interviews of job applicants and assist in hiring/firing decisions with approval of Regional Community Manager.

Monitor and approve overtime.

Conduct annual performance reviews. Make recommendations to the Regional Community Manager for raises, promotions, and employee counseling. Regional Community Managers may reserve the right to conduct and/or audit annual performance reviews.

Implement and be responsible for adherence to company policies and job descriptions as stated in the policy manuals.

Ensure all onsite staff members have attended the appropriate training classes/seminars including but not limited to OSHA training, FHA, ADA, harassment, etc.

LIABILITY MANAGEMENT

Assist with resident/personnel problems and complaints before they turn into litigation issues. If necessary, consult with the Regional Community Manager. Regional Community Manager will decide whether outside assistance should be enlisted.

Personally inspect, approve, and sign all resident applications, leases, and addendums. Ensure all lease files are properly organized and secured to prevent accidental loss of residents personal information.

Ensure compliance with TT Residential company policy and federal and local regulations, including but not limited to evictions and vehicle towing, Fair Housing Act, American with Disabilities Act, Equal Employment Opportunity, Clean Air Act, etc.

Notify Regional Community Manager of any potential liability or litigation threats, (i.e. insurance claims, Fair Housing, Equal Employment, Americans with Disabilities, etc.).

Assume leadership in emergencies. Contact the proper authorities, assist displaced residents, complete Incident Investigation Form (see Forms Manual), and insurance forms in cases of property liability, loss and/or damage. Refer all media inquiries to the Regional Office.

Properly document and report all injuries/incidents to the Regional Community Manager, Risk Management Department, and/or insurance company.

RESIDENT RELATIONS

Supervise resident retention, renewal, and leasing programs to maintain maximum occupancy.

Monitor turnover. Ensure turnover percentage remains within guidelines set by your Regional Community Manager.

Background/ Education

Minimum 3 years' experience in similar role.

High school diploma or GED equivalent required.

Valid US Driver's License and must maintain during employment.

Experience in on-site property management (leasing, bookkeeping, etc.)

Proficiency in verbal/written communications

Proficiency in mathematics

Must be familiar with Microsoft Office Suite.

Flexibility in work days/hours

Be available for after-hours emergency situations

Must be able to tour the community, including climbing stairs, on a regular basis

Flexibility in work location.

Travel

70% with potential for several overnight trips.
