POSITION OVERVIEW
In this position, you will be responsible for creating a positive and professional impression and appearance for our employees and guests at our West Lafayette location as a part of the Human Resources team. You will be integral in the administration of programs which align with the company mission and values in a way that helps create engagement and enthusiasm with our employees and visitors in our newly renovated front lobby. The hours for this position are 8am-5pm.
ESSENTIAL DUTIES & RESPONSIBILITIES
Office Administrator/Receptionist Duties:
- Deliver excellent visitor experiences; ensure our company's brand and character is reflected in all engagements
- Greet all guests on the phone or in person with enthusiasm, warmth and friendliness, ensuring proper registration of visitors.
- Confirm visitors are aware of security, safety, and confidentiality practices.
- Maintain appearance of office, lobby, common areas, and meeting spaces
- Coordinate calendars for client teleconferences and meetings, set up appointments, coordinate use of conference rooms and other meeting resources.
- Assist visitors with all shared equipment needs
- Manage and maintain office supplies, kitchen and supply rooms
- Support the site's emergency processes
- Manage and distribute corporate phone list
- Sort, process and distribute daily mail and assist with shipping and receiving of packages
- Assist with the coordination of employee events by sending out calendar invites, scheduling meeting spaces, and ordering food
- Assist with other delegated duties as requested including broad administrative support to all departments
- Perform other duties as assigned
HR Duties:
- Assisting HR with the process of recruitment, scheduling interviews and issuing employment contracts
- Entering employee data into computer database
- Coordinating logistics for new hire orientations
- Overseeing HR events and meetings and coordinating management-employee communications
- Support administrative tasks for Human Resources including new employee welcome and onboarding and support/fulfillment administration of employee store
- Prepare new hire welcome bags, folders, and employee badges
- Continuously learn the latest HR best practices to improve workplace efficiency
- Provide clerical support to the HR department.
Position Requirements
- High school diploma required; college degree a plus.
- General office knowledge (1-3 years' experience)
- Positive attitude and enthusiastic demeanor
- Expert level ability with Microsoft Outlook and Microsoft Teams
- Strong computer skills including proficiency in Microsoft Office
- Superior organization, written and verbal communication skills
- Ability to take direction and follow through as needed
- Must be a team player and enjoy working in a dynamic environment
Physical Activity
- Moderate physical activity.
- This position will require frequent walking, sitting for extended periods of time, carrying, standing, lifting (max 25 lbs), reaching while standing, gripping and twisting hand movements, finger control and other general repetitive motions.
