Job description

Our client is seeking an individual to joining their team as an Administrative Support Services Specialist. The ideal candidate will have the ability to work with wide range of guests and customers; as well as, possess an organizational and detail oriented skill set.

Essential Duties and Responsibilities

  • Client File Management, to include filing, uploading files, transfers, and requests for information.
  • Scheduling appointments - checking in clients and assigning to Therapist.
  • Manages client Data in electronic health record (s).
  • Screens all incoming client calls for appropriate type of counseling and family life education services.
  • Refers callers to appropriate Service programs; completing the intake, the registration, and/or the pre-authorization process.
  • Accurately takes messages and gives appropriate directions to clients and general public; assists visitors, clients, and staff in processing their inquiries and process all fax inquiries.
  • Performs secretarial and support staff duties and responsibilities which include but are not limited to typing, filing, and support for Non-behavioral health programs.
  • Displays a courteous and caring attitude at all times to the clientele, volunteers, and visitors of the Agency.
  • Cooperates and collaborates with program area staff, volunteers, and other Agency staff.
  • Abides by all specific program and Agency procedures, policies, and requirements.
  • Develops personal and program related skills through participation in internal and external training opportunities; including printed material and audio and/or visual media.
  • Is dependable and punctual regarding scheduling and attendance. Maintains organized reception area and opens and/or closes location.
  • Able to be available to travel to satellite offices.
  • Responsible for Grant data entry. Updating data in electronic heath record. Coordination with external and internal staff.
  • Creates, maintains, and shares as appropriate a dynamic self-care plan.
  • Strives to make connections between the agency and the larger community whenever possible in order to contribute to the agency's ongoing fundraising and friend-raising efforts.
  • Performs all other job related duties as assigned.

Qualifications

  • Associate's Degree preferred; but not required.
  • A minimum of two years related work experience.
  • Proficiency in basic office skills and personal computer skills.
  • Must be willing to work one or two out of four evenings per week (Tues -Thurs) until 7:30pm and Saturdays until 12:15pm.
