With our combined resources CommonSpirit is committed to building healthy communities advocating for those who are poor and vulnerable and innovating how and where healing can happen both inside our hospitals and out in the community.ResponsibilitiesESSENTIAL FUNCTIONS: Arranges for and processes project requests from the Physician Billing Office Director, management and/or staff as required according to established timeline.Reports building related concerns and other information to property management. Monitors and follows up, as necessary, on outstanding issues in an effort to ensure timely resolutionManages A/P process including invoice submission, tracking and reconciliationCompiles and prepares monthly statistical report data for management useTranscribes letters, memorandums, articles and other materials as directedMaintains department records and/or files (including employee, A/R, etc.)Maintains post office and other cash accounts for the departmentInitiates and coordinates departmental ergonomic and employee health reviewsAssists with development or updates of department policies as well as maintains department policies and procedures filesTrains staff on use of office equipment as well as troubleshoots minor equipment failures and coordinates I.T. support requestsActs as a resource for staff regarding Outlook, Excel Word, or Kronos needsMaintains appropriate office supply inventory levels across the departmentSchedules and attends required meetings as well as records the minutes when requestedHandles incoming telephone calls by providing callers with appropriate and accurate information and/or directing calls to trained staff as requiredCoordinates travel arrangements for personnel when requestedPrioritizes workload that allows for the timely completion of daily assignments and special projectsMARGINAL FUNCTIONS:Work may include cross coverage in other areas of department as needed.Participates in staff development activities and new employee departmental orientationParticipates in performance improvement projects and activities as needed.Work includes all other miscellaneous office duties/projects as assigned.Work hours may vary throughout the month/year as required based on scope of the position.QualificationsMINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:High school diploma, or GED required.Bachelor degree with business or healthcare management emphasis preferred.Minimum three years administrative, support, project management, or related experience required.
