Overview

POSITION SUMMARY:

Responsible for overall management, administration, and completion of mortgage final title policies/final title insurance and trailing documentation and responsible for Mortgage Electronic Registration Systems (MERS) administration.

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Performs essential duties and responsibilities in the following areas which may include, but are not limited to those listed and are subject to change.

  1. Adheres to the Credit Union's core values and Service Standards in carrying out GreenState's mission and vision.
  2. Demonstrates a positive member service (internal and external) focus at all times, greeting members and guests with a smile and eye contact immediately upon their arrival. Consistent usage of the members name during contact and always thanking them for their business.
  3. Demonstrates teamwork in all interactions with coworkers and in the completion of all duties and responsibilities.
  4. Ensures confidentiality of member information.
  5. Supports a diverse and inclusive work environment.
  6. Plays a vital role in enriching the community by participating in community service organizations and/or Credit Union sponsored events on an annual basis.
  7. Manages the process of mortgage final title policies/insurance and trailing documentation.
  8. Submits orders with attorneys to ensure prompt delivery of Title Opinion/Guaranty/Policy/Insurance after closing.
  9. Acts as first point of contact for mortgage loan officers, mortgage loan associates, mortgage loan assistants, file Analysts, and post-closers with legal title issues prior to, during, or after closing.
  10. Follows specialized job standards within a pre-authorized area to resolve lien or title issues/errors either prior to closing or after closing to obtain clear final title for all parties, including the borrowers, seller, and/or investors. Utilizes previous experience or situations to help rectify the errors. The problems can vary in their complexity, from very small issues to larger legal issues in which previous knowledge or expertise is required.
  11. Create, standardize, revise, and maintain all post-closing abstracting and title guaranty documents that are saved in the loan origination system (currently Encompass)Orders Title Guaranty directly with Iowa Finance Authority, when applicable.
  12. Works with all attorneys in other states to receive Final Title Insurance and met all other requirements deemed necessary by that state.
  13. Responsible for resolving various title issues to ensure clear title and that the University of Iowa Community Credit Union holds first lien position
  14. Interacts, collaborates, and works with investors, abstractors, title companies and/or attorneys related to Title Opinion/Guaranty/Policies/Insurance to obtain clear title.
  15. Responsible for verifying accuracy and sending all final trailing documentation to secondary market investors after Title Guaranty/Policy/Insurance is received or for the completion of in-house mortgage loans.
  16. Mails owner's title policies/insurance and/or deeds to borrowers, when applicable.
  17. Responsible for ensuring all individual invoices for abstracting and attorney fees are paid in full after closing. If there is a discrepancy, responsible for research and resolution of funds.
  18. Mails abstracts to members or sending abstracts for storage as they are received by UICCU with Final Title Opinion/Policy/Insurance Manages, organizes, and tracks abstract storage and receipts.
  19. Maintains overall organization of pending and completed final title work to ensure prompt receipt and delivery.
  20. Maintains final title policies/insurance tracking report in loan origination system.
  21. Maintains organization of all mortgage files with pending final title work and work with the respective examining attorney to cure outstanding liens.
  22. Trains all new mortgage loan assistants and post-closers to read legal title; provide tips and assistance on curing title objections prior to and after closing; provide continued training updates on a quarterly basis to all mortgage department staff.
  23. Trains all new post-closers how to record legal documents for all states' requirements and provides continued training updates on a quarterly basis to all post-closers.
  24. Assists in contacting borrowers after closing to execute missed or incorrectly signed loan documents.
  25. Oversees the accuracy of loan registrations in the MERS system.
  26. Creates TOS/TOB transfers to new investors on a daily basis.
  27. Coordinates loans in the MERS system being assigned back to the University of Iowa Community Credit Union (as necessary).
  28. Runs weekly reports in the MERS system to ensure all newly purchased loans have been assigned to the new investor.
  29. Notifies mortgage staff of all MERS process changes.
  30. Attends seminars/conferences to maintain and learn about any new legal additions, deletions, and/or corrections to title guaranty documents.
  31. Ensures that the mortgage department is compliant with all Iowa Title Guaranty requirements and all other states' requirements.
  32. Works directly with Mortgage Loan Sales and Support Officer or Post Closing Supervisor to ensure we are accurately prepared for any out of state lending in regards to title policies and recording. Will need to be willing to research and provide documentation for any new state we lend in.
  33. Provides support and assistance with various projects within the mortgage department.


Qualifications

JOB REQUIREMENTS:

  1. High school diploma or equivalent (i.e. GED.) with at least three to five years of experience within the mortgage industry and related legal work.
  2. Lending policies and Real Estate knowledge required; knowledge of real estate title policy preferred.
  3. Ability to provide quality service to members by phone or in person as well as develop and maintain effective working relationships with co-workers.
  4. Ability to prioritize assignments and organize work efficiently, to handle large volumes of details accurately.
  5. Ability to operate related computer applications, an on-line terminal and other standard office equipment such as a calculator.
  6. Reports to work punctually, works all scheduled hours, and works overtime as necessitated by business demand.
  7. Interpersonal skills to represent the Credit Union in a positive way, gather data from a number of sources and to represent positively the Credit Union during such contacts.
  8. Must be bondable.

Reporting Relationship
Reports to Vice President/Mortgage Processing.

Supervisory Responsibilities
This position is not responsible for the supervision of other employees.
