Job Description:
The primary focus of the Property Manager position is to assist with property performance, including tenant and leasing management, departmental accounting, budget tracking, and monthly reporting. The property coordinator will keep the Facilities Manager and our leadership team informed of each properties overall performance and identify areas for improvement. This person will conduct weekly updates on all assigned properties and performance goals for each. The property coordinator will plan and designate resources, prepare budgets, review, and submit invoicing, including but not limited to CAM and other building expenses as written in the lease. While managing property performance the property coordinator will also identify process improvement opportunities to continue departmental effectiveness.
Essential Job Duties:
- Assist the Facilities Manager to ensure project objectives, policies, procedures, and performance standards are in accordance with company policy
- Assist in the preparation and review of all invoicing, work orders, contracts, revisions, changes and additions to contractual agreements with all departments, suppliers, vendors, etc.
- Assist in budget analysis, cost and margin projections, estimate project changes and financial impacts
- Establish a plan to market lease space in an effort to gain 100% occupancy at all locations
- Track vendor performance, specifically to analyze invoicing and budget tracking
- Review all budgetary objectives and report progress based on financial analysis
- Develop spreadsheets, diagrams, and process maps to streamline processes
- Develop and monitor rent collection process
- Prepare lease summaries and quarterly reports for management
- Manage CAM expenses and collection
- Comply with all health, safety, and environmental rules and regulations
- Develop a detailed project plan to monitor and track progress of all assigned projects
- Manage changes to the project scope, project schedule and project costs using appropriate verification measurements and tracking resources
- Manage daily maintenance tickets to ensure completion goals are met
- Perform quarterly risk management reviews to ensure departmental compliance
- Establish and maintain relationships with third parties/vendors
- Create and maintain comprehensive work order documentation
- Other duties as assigned.
Required Knowledge, Skills, and Abilities:
Those required to Enter the Job:
- 2+ years proven working experience in property coordination/management and leasing
- 1-3 years of property coordination/management experience (commercial space)
- Ability to read and decipher blueprints, as-builts and AIA documents
- Financial, invoicing, work order experience
- Excellent customer-facing and internal communication skills
- Excellent written and verbal communication skills
- Solid organizational skills including attention to detail and multitasking skills
- Strong working knowledge of Microsoft Office with an emphasis in Excel budget building
- Accounting background may substitute experience requirements
- Ability to work evenings and weekends as required
- Ability to lift 75 lbs., climb ladders and operate basic tools of the trade
- Clean driving record with current license

- Project Management Professional (PMP) or Facilities Management Professional (FMP) a plus
- Bachelor's Degree in appropriate field of study or equivalent work experience
