Administrative Assistant


Client: Refinery

Location: Geismar, La

Start Date: ASAP

Duration: 12 months or longer

Schedule: 9/80 schedule with little to no overtime expected.


Job Duties

  • Provides desktop application support via MS Office applications for word processing, spreadsheets, presentations and other applications.
  • Manages the Responsible Care Department intranet site.
  • Coordinates the compilation of the required monthly reports.
  • Provides support for Environmental, Health, Safety and Quality graphs and statistics for monthly management team meeting.
  • Generates the monthly safety calendar, safety inspection rosters and updates safety board as required.
  • Coordinates safety orientations at the request of the Responsible Care Team.
  • Maintains and updates the emergency response command center resources.
  • Coordinates travel bookings for the Responsible Care Department and Stakeholder Relations Manager.
  • Maintains the Stakeholder Relations network drives, including updates and data entry for the community investment tracking and stakeholder listing.
  • Assists with the coordination and organization of meetings, special events, and community involvement initiatives.
  • Provides administrative support to stakeholder relations-related internal committees (i.e., Social Responsibility Committee).
  • Maintains visitor log for Administration Building, issuing visitor badges for all visitors to the Administration Building in accordance with Responsible Care policy
  • Administers and coordinates the client Geismar mail service, including stamping, distribution, and collection.
  • Coordinates the office supplies order, receiving orders from departments in the Administration Building and placing the orders. Coordinates the distribution of requested office supplies.
  • Place catering orders as requested by the Stakeholder Relations Manager.
  • Place beverage and coffee orders for the Administration Building, ensuring supplies are always readily available through coordination with departmental Administrative Assistants.
