Job Summary:
Controller directs all financial operations of the Club. He/she maintains all accounting records and is responsible for development, analysis and interpretation of financial information. Areas of responsibility include office management, general ledger, financial statement preparation, budget, computer and accounting operations. He/she is responsible for overseeing all areas at The Woodlands in a manner most pleasing to members and guests.
Job Responsibilities - Office Management:
- Hire, train, supervise and review staff's work for accuracy and completeness while maintaining proper controls.
- Monitor flow of work through the office.
- Follow up with GM, Treasurer and Finance Committee to resolve questions or fulfill requests.
Job Responsibilities - General Ledger:
- Prepare journal entry input.
- Maintain general ledger.
- Maintain reconciliation of all accounts for detail accuracy. Including credit card, investment, checking and savings accounts. Also professional charges.
- Verify Trial Balance to control ledgers.
- Analyzes all accounts. Manages and conducts internal auditing programs to assure that records are accurately maintained and established policies, practices are satisfactorily and consistently followed.
Job Responsibilities - Financial Statement Preparation:
- Edit of computer statement. Follow-up to ensure accuracy of statements on a monthly basis.
- Provide monthly financial management information to Department Managers, Board and Committees. Prepares monthly trial balance and resulting financial statements for the Club along with required supporting schedules and other data necessary for financial reports and records.
- Review results for period comparing actual to budget and last year.
- Explain variances in monthly written report.
- Advises Department Managers regarding financial aspects of their areas.
- Informs the General Manager of any "red flags" which may arise when processing the monthly financial reports. Works closely to ensure that any potential problem areas are identified immediately so corrective action may be taken.
- Works in conjunction with General Manager and Treasurer on investment options and cash balances.
Job Responsibilities - Budget:
- Prepare preliminary work files.
- Prepares budgets and financial forecasts in coordination with various Department
Managers and General Manager. Analyzes financial information, reports and makes recommendations to assist Department Managers in the budgeting process.
- Prepare annual budgets - operational and capital.
- Develop seasonally adjusted budget for 12 months.
- Report on variances from budget.
Job Responsibilities - Computer Operation:
- Maintain proper equipment and files.
- Supervise input and output, matching utilization and software requirements.
- Evaluate needs for departments and management.
- Responsible for maintenance and negotiation of contracts for computer and office hardware and software.
- Responsible for the administration and maintenance of Jonas system software.
Job Responsibilities - Accounting Operation:
- Evaluate procedures for effectiveness and efficiency.
- Maintain controls and assist with improvements.
- Assist outside accountant with year-end accounting and tax (federal, state, local) requirements.
Job Responsibilities - Other Operational Items: HR
- Recommends policy for financial aspects of the Club including accounting, auditing, budgets and cost controls.
- Prepare annual insurance renewals for Club including associated schedules. Ensures all insurance records for Club property are maintained.
- Administer all health, dental, life and 401K benefits and assist with biweekly payroll.
- Attends monthly Finance Committee meeting.
- Maintain various licenses, leases or agreements for records and accounting purposes. In conjunction with General Manager.
- Prepare monthly aging report, file liens and releases in accordance with the credit policy
- Maintain fixed asset additions, disposals, and schedules
- Perform payroll processing as needed.
- Participate as a member of team meetings and review pertinent financial information during monthly sessions.
- Handles special projects and financial analysis as requested by the General Manager or Treasurer.
- Ensures safe working conditions of all personnel throughout Club operations.
- Assumes other special activities and responsibilities as directed.
Job Responsibilities - Membership
- Processes member registrations; develops reports and undertakes special projects as applicable if membership retention problems arise.
- Enters new member information into the accounting system to initiate proper administration of their membership. Ensures that applications are completely and properly filled out, that all fees are collected and that new members understand the privileges and costs of becoming a member.
Hours:
- Monday through Friday - 8:30am to 5:00pm - Approx. 40 hours per week.
- Occasionally attend Committee and Board meetings in the evening.
