I. JOB SUMMARY

The Sr. Administrative Assistant is responsible for performing general support tasks which may be highly confidential. The Sr. Administrative Assistant provides general administrative support to the Site Head and Senior Leadership Team (SLT) members, as well assisting others site employees and teams with coordinating various site activities/projects.


II. ESSENTIAL FUNCTIONS

Administrative Support
• General administration tasks, including, but not limited to: meeting coordination, travel arrangements, expense reports, credit card reconciliation, food orders, and boardroom bookings.
• Responsible for incoming and outgoing mail, including FedEx and in town couriers.
• Maintains general office supplies and organization.
• Perform invoice receipts in SAP
• Partners with recruiting personnel for the coordination of on-site interviews and candidate communication
• Organize and maintain files and databases in a confidential and secure manner
• Create and & prepare routine correspondence and presentations using various computer software applications.
• Assists with updating Site Update Meetings (SUM) power point and/or SharePoint.
• Provide support to Directors & Site.
• Greets and directs visitors while also ensuring professional appearance of the reception/lobby area

Schedule Management & Travel
• Coordinates travel arrangements as required.
• Prepares expense reports as required.

Meeting and Event Coordination
• Assist with event planning and meeting coordination.
• Manages food orders for meetings.
• Prepares and ensures meeting spaces are ready for use.
• Manages conference rooms bookings for the facility, source and coordinate external meeting space as required.

III. MINIMUM EDUCATION, EXPERIENCE, SKILLS
• High school diploma or General Education Degree (GED) required. Associate's degree preferred.
• Minimum 5 years of administrative or related experience
• Must possess an outgoing and friendly personality
• Must be able to work in a fast-paced environment with the ability to adapt quickly to change and be flexible
• Must be a team player with excellent interpersonal and communication skills to interact well with all levels of employees
• Be self-directed and demonstrate efficient problem solving, organizational, and prioritizing skills with limited oversight.
• Must be proactive and a self-starter
• Good organizational skills and have a high attention to detail
• Time management and customer relations skills essential
• Must be proficient in Windows Platform, electronic file management, the Internet and Microsoft Office (Word, PowerPoint, Excel)
