Job description

Job Overview

Full-time, On- Site

We seek an experienced administrative professional who is responsible and energetic, able to contribute to our team with superb organizational and interpersonal skills. The Administrative Assistant will report to the Executive Assistant and the Director of Communications, Strategy and Administrative Operations and support a wide array of administrative functions for the Institute and the Leadership Team. IPI has a fast-paced, intellectually driven and collaborative research culture. Candidates who are engaged, enthusiastic and willing to multitask will fit in well.


Responsibilities and Duties

  • Assists with scheduling, planning and management of meetings, visitors, interviews, speakers and events at the Institute
  • Maintains Conference room calendar
  • Greets visitors and assists with building access and parking
  • Manages badges and onboarding activities of new employees with E-Verify, maintains COVID Policy, emergency contact information, COVID consent forms, birthday and date of hire lists
  • Point-person for all IPI events: monthly lunches, social hours, holiday parties and other events, as needed
  • Manages the inventory of general office and kitchen supplies, including submitting purchase requests, tracking goods receipts, approving invoices and shipping
  • Responsible for the upkeep of physical office, e.g.updating photo wall in the lobby or contacting maintenance for repairs
  • Responsible for tracking office packages and incoming mail
  • Other clerical and administrative support tasks to assist the Executive Assistant and Director of Communications, Strategy and Administrative Operations


Qualifications

  • Bachelor's Degree required 3-5 years' office experience, showing success with increasing levels of responsibility
  • Start-up experience, ability to wear multiple hats and jump in and help when needed with tasks not outlined in job description
  • Biotech, life sciences or academic experience is a plus
  • Desire to work in a "mission-driven" environment, amongst highly energetic, intellectual and supportive colleagues
  • Willingness to step in and make improvements and suggestions where necessary
  • Familiarity with both G-Suite and Office 365
  • Strong written and verbal communication skills
  • NetSuite and/or other financial software experience a plus
