Job description

McGlinchey Stafford is seeking a Commercial Litigation Legal Secretary/Assistant for our Boston, MA office. Legal Secretary/Assistants support multiple attorneys and are assigned with a variety of responsibilities including, scheduling hearings, trial preparation, drafting documents and a variety of other responsibilities. Successful candidates will have excellent time management skills and will be able to efficiently prioritize tasks in a fast paced environment.

We are seeking a candidate with ideally 2-5 years litigation experience, with a strong willingness to learn and adapt quickly taking directions from assigned Attorneys.

  • Experience in commercial litigation support experience - ideally financial services or complex litigation; including knowledge or willingness to learn in areas such as complex commercial disputes, government investigations and white-collar crime defense, securities litigation, regulatory proceedings and compliance. This would include providing support at all stages of a case, managing calendar dates and e-court notifications, and filing documents electronically. Additional experience in trial prep and arbitration prep would be beneficial.
  • Willing to communicate with courts regarding case status, upcoming appearances, and other inquiries as needed.
  • Able to assist with compiling exhibits in support of motions, discovery, correspondence, and service on all parties.
  • Detail-focused and able to proofread with a high degree of accuracy, to redact and revise documents and exhibits.

Technical Requirements:

  • Technological proficiency in software including Microsoft Office, Tables of Contents and Tables of Authority in Word, Excel, and Adobe Acrobat.
  • Familiar with, or has the ability to become proficient in, technology and processes required for timekeeping, billing, and document management systems.

Administrative Requirements:

  • Enters conflicts checks and opens files.
  • Assists attorneys with time entries as needed.
  • Prepares attorney and office expenses.
  • Assist in general office duties shared with other assistants to include duties such as: processing incoming/outgoing mail, ordering and stocking of kitchen and office supplies, maintaining file room, new employee office set-ups and other tasks as needed.
