Job description
The Role
Working under the direction of the Vice President of Corporate Real Estate and Facilities Management, manage Suffolk's office portfolio and internal real estate projects, including renewals and/or new lease site negotiations, space planning, construction management, office renovations and buildouts, and moves.
Responsibilities:
Construction & Project Management
- Manage all phases of project delivery, including concept, design, planning, construction, and project closeout.
- Develop project plans, requirements, and schedules; create project budgets and provide costing for each phase of project development.
- Track financial aspects of active projects and coordinate, adjust, and calibrate the team resources to ensure the work is scheduled to complete on time and within the parameters of the agreed upon budget.
- Identify risks to project timelines and escalate them to leadership and various stakeholders.
- Partner with Information Technology teams on project build outs.
Process Improvement & Lease Administration
- Drive strategic process improvements and leasing strategies for existing and new locations.
- Own lease administration function.
- Proactively project manage location deal/development process by reviewing, cross checking and updating new locations and LOIs, leases, license agreements and making sure they are posted and shared in a timely manner across the organization using current systems.
- Manage critical date processes including lease amendments, leases, and licensee agreements as they pertain to terminations, renewals and expiration dates.
- Develop and track real estate project schedules and office portfolio key performance metrics.
- Build and maintain executive-level project status reports, including budget and critical milestone reporting.
- Work with the Vice President of Corporate Real Estate & Facilities management in preparing and presenting sophisticated real estate presentations to Suffolk's Executive leaders, with an eye towards visual elements and design.
Qualifications:
- Bachelor's or Master's degree in Business, Real Estate or related experience required.
- Minimum of 7+ years of corporate real estate program management experience focused on real estate acquisitions and divestitures, lease agreements, negotiations, relocations, buildouts, construction management, project management, and lease administration.
- Strong project manager with experience in lease reviews and revisions, leasing process, identification and knowledge of key lease terms and contracts terminology.
- Demonstrated success and track record in managing real estate projects in a fast-paced, demanding environment with aggressive goals; must be able to prioritize tasks and manage multiple projects simultaneously.
- Attention to detail and design and process oriented.
- Strong communication, presentation, analytical, and problem-solving skills, with demonstrated ability to listen and factor in various points of view in decision making.
- Experience developing and implementing process improvements with buy-in from multiple stakeholders.
- Solid knowledge of data modelling software, particularly Excel.
- LEED Certification and familiarity with Lease Accounting Standards are pluses.
- Ability and willingness to travel as needed.
