Job Summary

This position will be based on our campus in Cambridge, MA. However, due to the COVID-19 pandemic this position will be remote until further notice.

Alumni Affairs and Development (AA&D)comprises the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, and the Harvard Alumni Association (HAA). There is a unique relationship between the University and the FAS fundraising operations, resulting from a long history in which University fundraising ultimately grew out of College fundraising.

Faculty of Arts and Sciences (FAS) Development
FAS Development is responsible for the fundraising efforts supporting the Faculty of Arts and Sciences, including Harvard College, the Harvard John A. Paulson School of Engineering and Applied Sciences, and the Graduate School of Arts and Sciences. FAS Development staff work with Harvard College donors, alumni, parents, and friends who provide critical support for the FAS and often for other parts of the University.

This full-time non-exempt position on the Harvard College Fund (HCF) team supports the work of two frontline officers who are each responsible for raising capitalwith an emphasis on raising unrestricted, current-use funds for the College, in addition to other FAS priorities. This position supports and tracks gift and solicitation activity, runs donor reports and lists, creates materials for meetings and solicitations, and helps to maintain relationships with donors and volunteers across all constituencies. This position may also include support for volunteer-led fundraising campaigns and event coordination. This position requires a high level of organization, initiative, and professionalism.

Job-Specific Responsibilities

  • Organizes, compiles, and helps create all necessary meeting and solicitation materials.
  • Enters data into the Advance database consistently and in a timely manner to track prospect movement, volunteer activity, event attendance, etc. Collaborates with the Operations team as needed.
  • Maintains various tracking reports to assure accurate and current information on gift and donor totals, solicitation status, and prospects. Produces reports and lists using the Advance and Qlik databases.
  • Provides information to constituents upon request and as appropriate in the officer's absence; responds toto volunteer questions concerning committee work and donors questions concerning gift processing
  • Cultivates favorable relationships and works closely throughout the year with alumni, current students, volunteers, and/or parents, as well as with colleagues across Alumni Affairs and Development to help accomplish annual goals - including but not limited to Principal and Major Gifts, Gift Planning, Alumni and Donor Services, Communications, Events, Operations, Prospect Management and Research, and the Harvard Alumni Association.
  • Supports officers' work with volunteer leaders on plans and activities to achieve annual campaign goalsand increase donor participation. May assist in recruitment of committee members. Helps organize conference calls, prepares reports and materials for staff and volunteers, and staffs events (in person and virtual) as needed.
  • May help facilitate communications to various FAS constituents from the officer and/or volunteer leaders to the broader community.
  • Handles travel and expense reports; schedules meetings and maintains calendars; drafts letters, emails, memos and reports; and performs other administrative responsibilities as needed.
  • May be asked to provide additional support for the broader Harvard College Fund Team and FAS Development during times of peak activity or staff transition. Works closely with other members of the HCF support team to advance the goals of the department.
  • The above covers the most significant responsibilities of the position. It does not, however, exclude other duties, the inclusion of which would be in conformity with the level of the position.


Basic Qualifications

  • 1-2 years of related experience (education may count toward experience).
  • Solid computer skills in a PC environment with the capability to master new software applications and technologies in database management. Advanced use of Excel, Word, and Outlook (mail merges, report generation).
