Job description
Title: Property Manager
Reports To: Vice President of Multi-family
FLSA Status: Exempt
Supervises Others: Yes
Primary Responsibilities: Manage and administer the day-to-day operations of the Apartment Management business. Maintains regular communication with community owners.
Skill Requirements:
• Bachelor's degree or equivalent business experience
• Strong organizational skills
• Strong written and verbal communication skills
• Excellent word processing, mathematic and computer skills required
• Commitment to obtain CPM, PCAM, ARM or AMS designations or equivalent
• Computer Savvy
• Must have valid driver's license
Duties and Responsibilities
General:
• Assure that the policies and procedures are carried out
• Be knowledgeable of all lease documents, rules and regulations and general legal requirements of Massachusetts Tenant/Landord Handbook
• Provide excellent customer service and maintain open lines of communication with fellow associates, renters and property owners
• Have general knowledge and understanding of building systems and components
• Be available to be on-call to handle after-hours emergencies
• Prepare weekly and monthly corporate and regional reports, as required
• Manager office and maintenance staff
• Such other duties and responsibilities as may reasonably be directed and required
Fiscal:
• Provide input and assist with the preparation of the annual budget
• Be responsible for the daily implementation of the annual budget, perform general financial management and recordkeeping
• Attend regular meetings with building owners to review financial status
• Coordinate receipt and review of invoices for services and ensure timely payment of bills
• Lease apartments as necessary
• Ensure rent is collected in a timely manner
• Assist with collection matters and evictions
• Oversee all capital projects and improvements occurring at the property.
• Communicate regularly with staff accountant.
Physical:
• Prepare specifications needed for all services received by community (e.g., landscaping,
snow, trash, insurance, pool, etc.)
• Manage bid process, review bid spec proposals and comparison spreadsheets and make
owner recommendations as appropriate.
• Negotiate community contracts for routine services, subject to the owners approval, and
Community's counsel as needed.
• Manage vendor relations
• Hire, supervise, train, schedule and evaluate company and/or property staff
• Log work requests in computer software and generate work orders for maintenance staff and/or contractors
• Conduct move-in/move out inspections.
• Conduct regular property inspections to ensure compliance with community's rules and
regulations and owners expectations.
Administration:
• Ensure maintenance of all files, records and correspondence in accordance with company
procedures and good business practices
• Attend all meetings with building owners
• Prepare weekly management and delinquency reports
• Process all move-in, move-out, credit and charge requests.
• Coordinate activities of community's professionals including attorneys, auditing firms and
engineering firms
• Review and be familiar with all policies of insurance to ensure adequate coverage
• Update renter directory in software
• Respond to all written and phone communication in a timely manner
• Conduct credit checks and landlord references for all new residents
• Type leases and process all move-in monies
• Ensure invoices are paid in a timely manner.
Community Relations / Communication:
• Provide excellent customer service and maintain open lines of communication with fellow
Associates, renters and building owners
• Update and maintain community information in Connect, including but not limited to the
Financial reports, management reports, work orders and resident inquires.
• Utilize Connect's Resident Alert feature in order to keep renters apprised of
Community activities and important updates
• Provide customer service assistance to renters as needed. Assist with renters
calls and inquires and respond accordingly or direct to the appropriate party.
Physical Requirements
• Capable of working extended hours, to include evenings, weekends and holidays as
necessary.
• Able to see well enough to read faint or partially obscured writing or painting, with corrective
lenses if needed.
• Must be able to speak English in a clear and understandable voice so that various types of
communications may be conducted with people of various levels of education and
capabilities, to include the exchange and receipt of information over the telephone.
• Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and
moving objects that can weigh up to 25 lbs. This movement can occur throughout the day.
Must also be able to climb several flights of stairs if necessary.
• This position will alternate between working indoors in a controlled climate and with proper
lighting, to an outdoors setting with variable climate and lighting.
• Must be able to interact with all types of individuals, be mentally alert, detail oriented, and
with good reasoning skills.
• Must be able to work in small and confined spaces for extended periods of time.
• Must have finger dexterity for typing/using a keyboard.
Environmental Requirements
• Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. For safety reasons, employee must remain alert to working conditions and aware of safety, health, and environmental concerns.
• Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties.
