We are looking for an Overnight Operations Manager to join our Team!
SUMMARY DESCRIPTION
Under the direction of the District Manager/Boston, the Operations Manager (Overnight) will oversee and assist in managing all aspects of the company's operations for all accounts out of the Quincy/Cambridge Office. Will work closely with the District Operations team on the management and oversight of all the client accounts, site and USI employees in the Region.
Position requires 3-5 years of progressively responsible management experience in the security industry.
Experience with industry site operations, training, recruiting and auditing in the contract industry preferred.
Prior military and/or police experience a plus.
RESPONSIBILITIES
Position includes on-call and response capabilities. May be assigned to evenings, nights and weekends as part of normal duties. Provide emergency response and operational support, as required.
Develop and maintain good Supplier relations with the Clients. Meet regularly with Clients to review operational activities and concerns. Meet Monthly and Annual Client visit goals
Assure that all work schedules for regular and special assignments are designed to provide the service in the most effective and efficient manner possible.
Meet all contractual/ budgeted scheduled hours with a minimum of unbilled overtime assuring that overtime and un-billable hours are minimized.
Ensure that trained and qualified security personnel properly staff all posts.
Ensure that all security personnel are aware of and perform their duties in full
compliance with the facility security operations procedures and location policies, procedures and regulations.
Review and approve all reports, duty logs, etc. submitted by security personnel
Ensure timely notification of all serious incidents.
Maintain effective communications with all assigned security personnel.
Counsel, advise, motivate, and (when necessary) provide discipline and positive
reinforcement to personnel assigned to the location.
Work with management in the development and implementation of sound employee relations, development, and retention programs for the location.
Ensure that assigned security personnel are kept up-to date on any modifications to procedures, policies, or regulations.
Schedule and conduct formal and informal employee performance reviews. Prepare and facilitate reviews and approvals for all employee wage/grade changes, promotions, or other changes in job status.
Develop / maintain operational procedures so that a valid, site-specific SOP and post orders are always available for emergency reference by the security staff.
Assure that the site security operations procedures, post orders manual and Pass Down logs are maintained and regularly reviewed and updated. Assist in the production of updated SOP Manuals, Read Files, and site documentation. Assure communication of policies, company announcements and job openings through a consistently updated READ file at each site, keep all files current.
Primary responsibility for scheduling & staffing of all locations.
Communicate staffing needs via Requisition Form; assist recruiters in identifying, interviewing and hiring quality candidates.
Conduct interviewing & hiring to standards, as needed. Knowledge of legal aspects of HR required. Manage open positions, cross-training and overtime.
Maintain floater pool and assist with mentoring managers and supervisors.
Develop staff in both technical and professional skills through performance management (coaching, counseling, disciplining, assure that employee grievances are heard and resolved (with help from appropriate Support employees, as required) and that personnel records are updated and accurate (Change of Status forms, rosters, etc.).
Take a proactive role in communicating with staff needs; meet with regularly, listen to issues, provide security and technical expertise and solutions. Ensure complete customer satisfaction.
Coordinate and/or conduct site-specific OJT, client-specific training, and annual refresher training for security personnel, as well as meet USI corporate training standards.
Reconcile security logs against shift responsibilities and patrols; review incident reports prior to submitting to client and coordinate preliminary investigations.
Conduct routine inspections & audits of assigned security personnel on all shifts to ensure they are properly performing such duties.
All sites, shall be inspected a minimum of monthly on each shift.
Process various reports to monitor operational progress, spot any potential problems or trends to assist the management team with improving operations and/or customer partnerships. Prepare detailed and accurate reports on all aspects of the field operations: employee evaluations, inspections & audits, serious incident reporting & investigations, financial reporting, trending, action plans.
Manage site uniforms, equipment, supplies & vehicles utilized at the account, ensure appropriate inventories and maintenance of checklists.
Support management and administration of payroll & billing systems. Work with site supervisors and managers for accurate and precise payroll/billing maintenance.
Assist in all training of USI team members including FA, AED, CPR, Verbal Judo etc. as needed.
Perform all other functions and duties as required or assigned by USI and/or the Client.
SKILL REQUIREMENTS
Position requires excellent verbal & written communication skills. Must have the ability to develop and write business plans, memos, spreadsheets, graphs & charts for business purposes.
Excellent computer skills with high level of proficiency in MS Word, Excel, PowerPoint and computerized payroll & billing programs.
