Mail Services Manager - Job Description

Provide superior customer service in supervising all mailroom services and functions meet/exceed client expectations. Maintain and improve the mailing functions for the Client. Support the Facilities Team in the implementation of key initiatives and projects as needed.

Responsibilities

* Supervise employees and ensure outstanding operations and employee development
* Motivate employees and recognize their accomplishments in a timely manner
* Formulate and implement policies for the effective operation of mailroom services and facilitate client agreement to changes
* Provide status reports on mailroom operations and any process improvements
* Ensure that location is properly staffed by matching employee skills and equipment with production demands
* Conduct and supervise all mail processing and distribution
* Manage destruction of confidential paper and shredding
* Ensure all incoming mail is sorted correctly distributed to intended recipients timely
* Maintain records of all couriers and incoming / outgoing mail
* Ensure the mailroom is operational at all times during designated hours
* Report on mail expenditure and reconcile supply charges as required
* Provides record retention in accordance with clients procedures and policies
* Manage all health and safety workplace issues and actively participate in health and safety reviews

Requirements

* 3 years experience in mailroom operations, including one year of supervisory experience.
* Postal laws, rates and regulations (letters, printed materials, packages, registered and certified mail)
* Personnel Management and supervision
* Mailing equipment use and maintenance
* Ability to analyze data and processes to ensure timely, cost-efficient distribution of mail in a prescribed manner
* Must be able to adequately perform required job functions. This includes being able to lift, bend and move in such a way as to perform job tasks in a safe and approved manner.
