Job description
PURPOSE OF JOB: The Event Coordinator, responsible for every aspect of planning each of AAoM's events throughout the year. This includes but is not limited to the AAoM annual gala, walk, all parent conferences, the new Young Professionals led event and any third party fundraising events.
ESSENTIAL DUTIES:
- Strategize, organize, and execute an entire event including but not limited to vendor relations, guest management, volunteer management, marketing and promotions, event committees, and financial tracking
- Manage vendor relationships once secured and ensure that all deadlines are met
- Track all spending and meet with team regularly to ensure budgets are maintained and goals met
- Work with Manager-Development Operations to create and maintain an individualized event task and timeline
- Manage all event set-up, tear down, volunteer coordination and follow-up processes
- Assist in developing and executing marketing strategies for each event; assist with acknowledgements and gift tracking.
- Review all potential third party opportunities, bringing all high potential events to Manager- Development Operations for final approval
- General oversight of third party event relations including marketing management and tracking through the event itself and appropriate follow-ups
- Through volunteer networks, prospect, cultivate and steward Hero Walk teams, sponsors and walkers to achieve development goals.
- Responsible for overall volunteer committee development, team recruitment and retention strategies, budget, timeline, marketing/PR, logistics and best practice implementation.
- Measurable outcomes for this position include: achieving designated financial and participant goals through team and individual fundraising, community partnerships, as well as increasing overall brand awareness and visibility in the community.
JOB QUALIFICATIONS:
- Bachelor's Degree in related field preferred.
- 2-3 years of proven event experience, inclusive of managing volunteers. Experience organizing a Walk event preferred.
- Confident, goal-oriented, positive self-starter able to work independently with limited supervision and collaboratively with internal and external partners.
- Proficient in Google Platform; proficient in Microsoft Office, especially Excel and Word; knowledge of donor databases not required, but highly encouraged
SPECIAL CONSIDERATIONS:
TRAVEL REQUIRED : Must live in Michigan and have availability for travel to meetings and training within the state of Michigan.
WORK HOURS : 40 hours per week; availability during business hours of 8 am to 5 pm is required; availability for some evening and weekend events is also expected
