Job Title Clinical Administrative Assistant Location Clarksdale, MS Department Nursing Services FLSA Status Non-Exempt Reports to Erma Nesby Shifts hiring Full-time Pay Grade 10.00

POSITION PURPOSE:

Responsible for effective overall organization, management and coordination of medical records, clerical, appointment/laboratory scheduling, and phlebotomy services for the nursing department.

ESSENTIAL FUNCTIONS OF POSITION:

* Works under the direct supervision of the Director of Nursing and/or Assistant Director of Nursing.
* Ensures that laboratory tests are scheduled and conducts specimen collection of blood, whenever needed.
* Ensures that all test results are placed on medical records after they have been reviewed by the nursing staff and/or physician.
* Organizes and schedules appointments for all clients. Works with DON, ADON, and Supervisor to ensure that transportation and personnel are available for transporting clients to appointments.
* May transcribe physician orders to be checked and signed off by nursing staff.
* Review and ensure that all necessary components of the medical charts are present in the charts and organized so that all medical/nursing information is easily accessible.
* Assists nursing staff with checking new orders with MARs for accuracy.
* Assists nursing staff with comparing new (auto-cycled) medications against the manifest to ensure that all medications have been received for the next month.
* Answers telephone at nursing station when physically present in the room.
* Assist nursing department personnel to ensure communication among the interdisciplinary team.
* Keep calendar of ISP and Quarterly Review dates and give advance reminders to nursing so that accurate nursing/medical information will be presented in a timely manner.
* Ensures that all weights (monthly, weekly and/or daily) are placed in the chart in a timely manner.
* Performs other duties as deemed necessary and appropriate or as directed by the Administrator, DON, ADON or their designees.
* Assists nursing staff with cleaning and maintaining cleanliness in the nursing station area, and the treatment room.
* Assists DON during nursing staff meetings by keeping minutes and maintaining the minutes in a notebook. This notebook will be accessible to all nursing staff for reference.
* Ensures that there are necessary medical/nursing forms for admission of new clients.
* Assists in ensuring a safe, clean environment for the client's staff and visitors.
* Projects a positive image of the facility by displaying a high degree of professionalism, demonstrating concern and courtesy in interactions with clients families, medical staff, employees, and outside agencies.
* Answers the phone in a professional manner.

EDUCATION / REQUIREMENTS:

* High school graduate or successful completion of GED.
* Certificate showing successful completion of phlebotomy training, either formally or on the job training (within 90 days of hire).
