As Administrative Assistant to the Sr. Vice President Human Resources (Sr. VP HR), you will play an integral role as you provide best-in- class executive support while leveraging your high degree of confidence, integrity, and professionalism.

In this role you will:

  • Provide general administrative support to the Sr. VP HR.
  • Manage the Sr. VP HR's email, work and personal calendar, schedule, and travel logistics.
  • Manage technology and setup of video and conference meetings.
  • Prepare correspondence on behalf of the Sr. VP HR.
  • Create and/or edit documents, spreadsheets, and presentations for the Sr. VP HR.
  • Plan meetings and logistics for Board meetings, executive meetings, and committee meetings, including: preparing agendas, sourcing hotels, managing contracts, coordinating arrangements, communicating with attendees, arranging hotel and ground transportation, catering, tech equipment set up, expense reporting, editing and finalizing all meeting pre-read materials; sending out materials and pre-reads.
  • Monitor and track expenses for Sr. VP HR.
  • Handle incoming mail addressed to Sr. VP HR to ensure it is properly received, reviewed and routed.
  • Establish and maintain appropriate files, logs and records including confidential information.
  • Demonstrate presence and effectively engage across diverse groups of employees, retirees, suppliers, community members, executives, customers and other constituents.

What you bring to the table:
  • Minimum 3 years of experience required; 4 + years of experience preferred.
  • 2 year degree preferred: Some college or business schooling.
  • Proficient in Microsoft Office (PowerPoint, Word, Excel) and Video applications (Zoom, WebEx, Microsoft Teams).
  • Proactive go-getter; no task is too big or too small.
  • The ability to appropriately handle confidential and sensitive information. Utmost discretion in all aspects of the job; both business and personal.
  • The ability to work independently and efficiently with ambiguity.
  • Develops meaningful relationships and collaborates across departments.
  • Continuously changes the status quo and seeks ways to improve and develop.
  • Dynamic and proactive and comfortable in a fast-paced environment.
  • Available to work some off-hours at times.
