Job Title: Secretary 4, Student & Community Services

Location: Teacher Administrative Center, 3215 Cuming St, Omaha. NE 68131

Reports To: Supervisor, School Counseling

Work Schedule/FLSA Status: 12 Month / 8 hours per day (Non-Exempt)

Salary Schedule: This is a full-time negotiated position. Salary grade 32E

Position Purpose: The purpose of this position is to provide administrative support to various areas within Student & Community Services including: School Counseling, Social Work, CCAP, Freshman Academy and SEL.

Knowledge, Skills, and Abilities:

  • Answer telephone calls in a professional manner with tact and courtesy.
  • Submit and track invoices for payments.
  • Work professionally with others in the office setting.
  • Prepare materials for curriculum support.
  • Type correspondence and reports with accuracy.
  • Sort and distribute department mail.
  • Maintain accurate and confidential records and data.
  • Maintain positive working relationship with fellow staff members.
  • Schedule calendars and set up meetings.
  • Prepare materials for meetings.
  • Reserve locations for meetings.
  • Submit requisitions.
  • Submit extra duty pay requests.
  • Work as part of a team.

Essential Performance Responsibilities

  • High school diploma and/or equivalency is required.
  • Computer skills that include the use of MS Word, Excel, Publisher, and willingness to develop skills as new technology is implemented in the department.
  • Experience with data input.
  • Ability to copy, FAX, scan and file.
  • Exemplary organizational skills with attention to detail.
  • Understanding of basic budgeting.
  • Ability to work without direct supervision.
  • Capable of being able to handle multi-task duties on a continual basis.
  • Demonstrated problem-solving skills.
  • Exemplary attendance and prior work record.
  • Possess strong standards of professional ethics and skills to work effectively with all staff members and the community.
  • Ability to work in a multicultural environment.
  • Ability to meet deadlines.

Additional Duties: Performs other related tasks as assigned by supervisor.

Equipment: This position requires the ability to use basic office equipment such as computers, copiers, scanners, and fax machine. Must always comply with OPS's guidelines for equipment use.

Travel: Local travel is not required.

  • Must be able to respond rapidly in emergency situations.
  • Must have organization, time management, communication, and interpersonal skills.
  • Work in an office environment.
  • Must have the ability to work in physically constricted areas.
  • Have the specific vision abilities required by this job, which include close vision, distance vision, color vision, and the ability to adjust focus.
  • Selected applicant must pass a functional test of physical abilities. Testing will be arranged by the school district.

Interrelations:

  • Contact with personnel within the district and with customers and vendors.
  • Works under the direct supervision of the department supervisor in order to complete day to day tasks.
  • Works with a diverse population including multiple nationalities and cultures requiring the ability to handle all situations with tact and diplomacy.
  • Must understand and respond appropriately to customer needs and maintain a positive attitude with all customers and colleagues.
  • Expected to interact with all internal and external customers in a friendly, professional manner and provide quick, responsive customer service.

Employee Punctuality and Appearance

  • In order for schools to operate effectively, employees are expected to perform all assigned duties and work all scheduled hours during each designated workday, unless the employee has received approved leave.
  • Any deviation from assigned hours must have prior approval from the employee's supervisor or building administrator.
  • All employees are required to report to work dressed in a manner that reflects a positive image of Omaha Public Schools and is appropriate for their position.
  • Regular attendance is important.

Terms of Employment

This position is treated as a full-time non-exempt classified position. The terms of your employment will be governed by applicable state laws regulating employment in a Nebraska public school and Board of Education policies, as those laws and policies may change from time to time. If your position is represented by a collective bargaining representative, then your employment will also be governed by a negotiated agreement between OPS and that collective bargaining representative.

The offer of employment is contingent upon:

  • Obtaining and providing verification of all licenses, certificates, and other requirements for the position (e.g., Paraprofessionals obtaining "Highly Qualified status," etc.), as identified and maintaining all licenses, certificates, and requirements for your position throughout employment.
  • A background check which demonstrates to OPS that background is acceptable for the position.
  • Verification of U.S. citizenship or legal authorization to work in the United States.
  • Successful completion of a pre-employment drug test (if required for position offered).
  • Successful completion of a tuberculosis skin test (if required for position offered).
  • Successful completion of a pre-employment medical examination to determine ability to safely and effectively perform the essential functions of the position.
