Job description

WHAT YOU'LL DO:

We are looking for a driven Senior Administrative Assistant who can work with limited direction to provide administrative support and act as a thought partner to senior consulting staff in their work with clients and internal functions. Although you will need to be a master of tasks, we need thinkers and expect you to go beyond transactional support. The role and experience will vary depending on the Partners/MDPs being supported and their needs.

While consultants spend most of their time at the client site, members of our Business Services Team (BST) work from and carry the culture in the New Jersey (NJY) office. You'll be surrounded by an Administrative Services Team and fellow members of BST who are smart, team-oriented, hardworking, and supportive. Administrative Services Team members actively participate in office life, are flexible, and willing to help fellow team members and collaborate across functions. We are all each other's clients.

We won't define a career path for you. We believe your career at BCG will be at the intersection of your skills and desires and the needs of our business; it will only be limited by your investment.

YOU"RE GOOD AT:

  • Provide proactive "table stakes" support for up to 6 Partners/MDPs with internal/external commitments in a fast-paced and changing client service environment (these are your primary responsibilities and some days are more administrative focused than others):
  • Organize and schedule (and re-schedule) client/internal meetings and events with an understanding of business priorities - proactively manage extremely complex calendars
  • Anticipate and coordinate point-to-point travel needs as necessary, including booking (and unbooking) all travel and hotels, directions, commuting time and ground transportation
  • Process timesheets and expenses on a timely basis
  • Provide backup support to other executives when needed
  • Solve problems before anyone knows they exist
  • Maintain confidentiality - you will be privy to sensitive information
  • Proactively lean in to support high leverage activities for Partners/MDPs and their case teams (this will vary by need):
  • Actively support business development efforts
  • Conduct research and gather information to help problem solve questions
  • Assist with creating and preparing client team materials - slides, proposals, onboarding decks, including proofreading and copying/binding
  • Anything else you (or the Partner/MDP) come up with - be creative and think outside the box
  • Act as thought partner and trusted advisor to Partners/MDPs, their teams and others at BCG
  • Make sure they know what they need to know
  • Guide them toward making right decisions about use of time
  • Take initiative to bring things "from the back burner to the front burner" for Partner/MD
  • Build effective working relationships with key stakeholders - Partners/MDPs, clients, consultants, assistants and your peers. This will be crucial to your success.

YOU BRING:

  • Bachelor's degree strongly preferred
  • Demonstrated leadership and/or customer service experience in a fast-paced environment, supporting senior executives, strongly preferred
  • Comfortable using PowerPoint and Excel

There are a few key things we look for - do you have what it takes to step into these shoes? Each competency has an element of judgment and impact running through them.

  • Curiosity - interest in understanding the big picture; drive to learn about what's going on and independently asking "why" in order to exercise appropriate prioritization and judgment with daily activities; understanding the broader objectives will help you be more successful in the role; creative thinker who is committed to improving the status quo and up for a challenge
  • Insight - can connect the dots, identify patterns, make predictions and take intuitive leaps; willing to take ownership and risks to get to a great answer; open to feedback and highly diplomatic, perceptive and practical, knowing when to ask for help or advice
  • Teaming - creates effective working relationships and builds connections across all stakeholders; develops a brand that compels people to engage; demonstrates high levels of customer service and proactively seeks opportunities to help others
  • Execution - getting the work done right (and efficiently) the first time; organized and sweats the small stuff; strong attention to detail and accuracy, particularly when under pressure; adjusts to different working styles and does not get frustrated by priorities changing; wants to deliver great results at all times, going above and beyond in order to get the job done

YOU'LL BE WORKING WITH:

Our business management and operations team members work to ensure that BCG is running smoothly, efficiently, and productively. We are made up of executive and administrative (or case team) assistants, visual service artists, receptionists, facilities staff, and the team leaders and office coordinators who manage these operations and business management jobs.

VACCINE MANDATE:

Effective November 1, 2021 COVID vaccines are mandated for all BCG U.S. staff, which means all U.S. staff must be fully vaccinated (meaning it has been at least 2 weeks since an individuals final vaccine dose) or receive an approved exemption in order to be employed by BCG.
