Primary Responsibilities

* Provide administrative support to on-site leasing operations with a business objective to lease all vacant unit
* Create and maintain daily and weekly traffic reporting with client registration form, guest card or log, providing information and feedback sourcing traffic, visitors, names, and contact information
* Gather all required application documents in a timely, accurate and professional manner
* Communicate with prospective applicants, their employers, their previous landlords and any other involved parties to obtain required documentation for verification of application information.
* Verify accuracy of all application documents and conduct credit reports and background checks as part of applicant screening
* Provide application status update to prospective renters, resolve discrepancies or issues while maintaining exceptional customer service
* Develop a schedule for timely implementation of all aspects of the occupancy cycle, inclusive of unit inspections, apartment availability, interviewing applicants, required verifications/documentation and tenant selection.
* Enforce occupancy policy and procedures in accordance with regulatory agreements.
* Implement initial, annual and interim lease process for all units; coordinate with the Compliance Team to ensure all subsidy information for the resident is appropriately communicated between resident and GFB Management (GFB).
* Initiate communication to the compliance team for residents out of compliance with rent or house rules. File all paperwork in order to support the tracking of all resident related housing court actions.
* Prepare potential resident move-in packages for the Compliance Team to review and approve
* Prepare leases and related leasing addenda, support and ensure timely input of lease data, move in resident process into company approved software (Yardi or other like product)
* Complete and/or assist with the completion of housing program requirements such as Annual Owners Certification as well as monitoring agency file reviews and site inspections.
* Address business inquiries, leads, calls, and walk-ins per office protocols
* Inspection and review of available apartments to ensure units are clean and presentable
* Monitor lease expirations, process renewal offers, send, follow up and track renewal progress
* Provide administrative oversight to ensure placement of advertisements are accurate and active
* Provide administrative support in the maintenance and distribution of marketing initiatives and collateral, including email blasts, mailers, building signage, internal and external marketing collateral, and related items
* Maintaining a professional and friendly environment, receiving guests and prospective tenants
* Work with the maintenance department to handle apartment turns and a seamless move in process
* Strong organizational abilities, follow up skills and attention to detail
* Assist with special projects as needed
* Ability to work weekends as needed

Requirements

* Minimum 2 years in an On-site Property Assistant/Property Administrator role
* YARDI experience is a must
* Knowledge of Affordable Housing
* Willingness and ability to work in an on-site leasing office
* Spanish speaking preferred
