Job Purpose

The Administrative Assistant will handle multiple administrative tasks for BTIG's Research Team in New York. This includes handling incoming calls and providing administrative support to members of the Senior Management team. This individual must be polished, enthusiastic, and possess strong interpersonal skills. Flexibility, initiative and a drive to succeed are essential qualities for the position. Must be able to wear many hats and work in a fast-paced environment.

Duties & Responsibilities

  • Assist and execute a variety of administrative tasks including but not limited to, scheduling meetings, conference calls and appointments, making travel reservations, expense reports, calendar maintenance and completing administrative tasks on MS Office applications including Word, Excel and PowerPoint.
  • Data input, cleansing and analysis
  • Aid in the reconciliation of client data within our CRM system for the research team
  • Reserve and prepare conference rooms as necessary for internal and external meetings including breakfast/lunch ordering for client meetings
  • Quickly learn new information and learn new applications, including vendor and system management
  • Work with Corporate Communications and Facilities Associate to assist with printing, presentation material preparation and other time-sensitive assignments
  • Assist with back-up receptionist and answer the main telephone number; handle all calls in a professional manner, screen and transfer calls as needed.
  • Special Projects and other duties as assigned
Requirements & Qualifications
  • At least two - three years of experience in an Administrative role
  • CRM/Salesforce experience
  • College degree required
  • Ability to multi-task and to anticipate needs
  • Strong professionalism, interpersonal and problem-solving skills
  • Ability to work in a high-pressure environment
  • Willingness and ability to meet tight deadlines
  • Passion to learn new things and a meticulous attention to detail
  • MS Word, Excel, PowerPoint and Outlook skills
  • Financial services experience preferred
