SUMMARY:

Notch Partners seeks an experienced Administrative Assistant to join our dynamic, collegial, highly professional consulting firm. The ideal candidate will be a proactive, very responsive, exercise good judgment in a variety of situations, have strong written and verbal communication skills, and be highly organized. We are looking for a candidate who feels comfortable frequently interfacing with clients and exercising a high degree of professionalism, tact, sensitivity, initiative, diplomacy, and resourcefulness. The candidate will work closely with the administrative team and senior Notch executives.


PRIMARY RESPONSIBILTIES:

  • Manage an extremely complex calendar for senior Notch executives, within a very fast-paced environment
  • Schedule conference calls and in-person meetings with senior-most private equity clients, C-suite executives, and our firm's professionals
  • Manage sensitive, highly confidential and proprietary information with the utmost discretion
  • Draft, process, edit, and proofread executive-level documents, pitch materials, and PowerPoint presentations
  • Anticipate and prepare materials needed for correspondence, appointments, meetings, travel, phone calls, etc.
  • Schedule, organize, and prepare materials for routine and non-routine activities such as firm meetings, company events, client meetings, client reports, etc.
  • Organize office and files, helping to maintain an inviting and professional work environment for our team and for C-level executives visiting our office


ESSENTIAL QUALIFICATIONS:

  • Excellent organizational skills, with exceptionally strong attention to details/accuracy
  • Strong time management and prioritization skills. Ability to set priorities, meet deadlines, and follow up on assignments with minimal supervision and direction
  • Strong judgement, discretion, and decision-making skills, particularly with respect to confidential information
  • Ability to multitask, maintain composure under pressure, and deliver in a constantly changing, fast-paced environment
  • Self-starter, proactive, responsible, and resourceful
  • Collaborative and team oriented. Excellent interpersonal skills with ability to interact well with all levels of clients, C-level executives, and peers
  • High level of confidence and integrity. Maintains composure and demonstrates "grace under pressure"; comfortable dealing with and managing through ambiguous situations
  • Advanced IT skills
  • Proficiency with Outlook, Word, Excel, PowerPoint, and Office365

PROFESSIONAL BACKGROUND:

  • Bachelor's Degree or equivalent
  • Two to five years supporting C-level executives/partners/managing directors, preferably in a high-end professional services environment, such as consulting, law, finance, or executive search
