The Administrative Assistant is the programmatic support for operations at the 696 Build Queensbridge Human Justice site. You will be responsible for assisting all supervisors and managers through a variety of tasks related to organization and communication. The Administrative Assistant will be responsible for confidential and time-sensitive material and must be familiar with a variety of Crisis Management System practices and procedures. You must also have the ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and promptly.


Responsibilities:

  • Organize and schedule meetings and appointments for supervisors and managers.
  • Produce and distribute correspondence memos, letters, emails, faxes, and forms.
  • Ability to develop and maintain relationships with local service providers and program partners, including e.g. law enforcement, faith leaders, and community stakeholders, to identify and access resources for high-risk individuals.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a program's filing system.
  • Facilitate correspondence between the administrative office and Human Justice site regarding ordering office supplies, Time & attendance, etc.
  • Keep track of documentation such as attendance sheets, invoices, payroll, etc.
  • Recruit and supervise volunteers.
  • Assist supervisors in creating and implementing a community mobilization plan that encourages resident involvement in activities designed to change local norms towards gun violence.
  • Take direction and execute regular community events.
  • Create and disseminate public education materials.
  • Help to develop the S.O.S. social media presence.
  • Create and implement a plan to involve clergy in S.O.S. activities.
  • Participate and facilitate in regular staff meetings to ensure proper referrals and
  • case management.
  • Participate in all administration/management meetings and ensure that meeting proceedings are communicated to CCD staff.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Write letters and emails on behalf of other office staff.
  • Organize conference calls, virtual meetings and follow-ups by maintaining the site calendar.
  • Maintain computer and manual filing systems.
  • Any other responsibilities that may develop in the course of the work.


Qualifications:

  • Associates Degree or Equivalent.
  • At least 1 year of Administrative Experience.
  • Knowledge of office management systems and procedures.
  • Excellent time management skills and ability to multi-task and prioritize work. - Attention to detail and problem solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • Proficient in MS Office.
