The Carlyle, A Rosewood Hotel is currently recruiting for a Communications Coordinator. The ideal candidate will support the Director of Sales & Marketing and the Director of Communications with marketing, public relations, social media and administrative needs for the hotel. Tasks include a variety of responsibilities including collateral execution, coordination of photo shoot/film projects, writing, social media management, email marketing, website maintenance, research, coordination of VIP and media visits, database management, answering telephones, preparing reports, maintaining files and departmental records.

Essential Duties And Responsibilities

  • Update, post and monitor all Social Media channels including Instagram, Facebook & Twitter.
  • Manage production of all hotel collateral and e-blasts, including all Café Carlyle related collateral.
  • Update Rosewood & Café Carlyle website and Ticketweb for Café Carlyle on a consistent basis.
  • Monitor hotel's presence on all online sites.
  • Manage online reviews through TrustYou; respond to reviews within 24 hours of post.
  • Manage website updates and content management
  • Work closely with Digital and CRM teams to enhance the digital guest experience across all channels with a focus on both brand loyalty and customer acquisition
  • Develop monthly and quarterly reporting with measurement against KPI's with key insights and recommendations for optimization
  • Identify opportunities to improve digital marketing performance and communicate best practices
  • Manage relationships with digital agencies and freelance support
  • Set up all details for photo shoots and filming in hotel as needed
  • Conduct site inspections for media or other clients.
  • Work with Printing Firms to get collateral pieces made for Carlyle outlets in accordance with Hotel & RHR Standards
  • Strong attention to detail and ability to produce written materials for the hotel.
  • Interact in courteous and professional manner with all guests, staff and community members.
  • Act as an ambassador of The Carlyle at all times
  • Attend occasional evening and weekend events on behalf of The Carlyle
  • Anticipate guests' needs, respond promptly and acknowledge all guests and residents and maintain positive relations at all times.
  • Resolve guest complaints, ensuring guest satisfaction.
  • Maintain clean and safe work area.
  • Set up work station with necessary supplies and resource materials.
  • Maintain office supplies and keep department supplied with all necessary collateral pieces
  • Answer telephone; qualify leads and record messages when appropriate.
  • Make telephone calls to specified individuals as requested by the Director of Sales & Marketing and the Director of Communications.
  • Follow up on immediate assistance requests, from all overflow calls for staff members.
  • Greet all individuals arriving at Sales & Marketing offices and assist with their needs.
  • Arrange meeting room requirements as requested by the Director of Sales & Marketing and the Director of Communications.
  • Maintain current information in the Department manuals and maintain filing procedures.
  • Maintain confidentiality and security of specified hotel information, correspondence, reports and files.
  • Coordinate travel arrangements, hotel reservations and car rentals as required for the Director of Sales & Marketing and the Director of Communications business travel needs.
  • Assist with the compilation of the monthly sales, marketing and PR reports.
  • Send weekly/monthly marketing updates to department heads and Rosewood's corporate office.
  • Enter and maintain client information in Sales Force/Delphi and Opera PMS System.
  • Retrieve and distribute departmental mail.
  • Process requests for overnight mail and other delivery/messenger services.
  • Prepare and send faxes; receive and distribute faxes to appropriate personnel.
  • Type correspondence, memos, reports and make copies.
  • Attend designated meetings, take minutes, and distribute.
  • Coordinate service repairs for office equipment, ensuring minimal costs.
  • Coordinate floral and other vendor amenity requests with authorized suppliers.
  • Manage Checkbook of all invoices and follow up on all invoices queries
  • Act as Liaison to PR and other agencies
  • Make reservation requests for Directors and follow up with Reservations which include arranging amenities, welcome letters, special requests ensure appropriate traces are set-up in advance.
  • Respond in courteous, professional and rapid manner in order to resolve all guest and staff difficulties.
  • Perform a variety of duties, often changing from one task to another of a different nature without loss of efficiency or composure.
  • Maintain complete knowledge and comply with all departmental policies, service procedures and standards.
  • Ensure grooming and attire are maintained at a superior level on a daily basis.
  • Maintain complete knowledge of correct maintenance and use of equipment. Use equipment only as intended.
  • Models the company's culture, vision, mission and core values at all times.
  • All other duties as required.

Job Requirements
  • Knowledge of the digital marketing landscape, including email marketing, website, search engine and performance marketing, digital content and online advertising
  • Strong project management skills and attention to detail with the ability to manage multiple initiatives and priorities while delivering results on-time and on-budget
  • The ability to communicate effectively internally and externally and serve as a subject matter expert within the field, proactively fostering training, development & teamwork.
  • Well organized and detail-oriented with a focus on quality assurance to ensure that the brand and properties are accurately represented in the online space
  • Excellent writing skills with the ability to proofread, edit and write marketing copy while adhering to brand standards
  • An eye for design and creativity to communicate the Rosewood brand across digital platforms
  • Must be able to perform job functions with attention to detail, speed and accuracy prioritization, organization and follow-up
  • Be a clear thinker, remaining calm and resolving problems using good judgment
