Job Summary:

Sheltering Arms Children and Family Services is seeking a Development Assistant with excellent computer, organizational, and problem-solving skills to support our fundraising efforts. As a support member of the Development team, you will play a critical role in securing the resources needed to serve New York City's highest need children, families, and communities. You will partner with committed team members from across Sheltering Arms to assist with special events and volunteer management, and to provide general development support.

Responsibilities:

General Development Support:

* Prepare and process acknowledgement letters, invoices, and other documents. Process and coordinate with Finance department donations, pledges, and grant payments
* Manage our CRM, Raiser's Edge
* Oversee preparation of donor reports and list selections from Raiser's Edge for mailings, appeals, communications, reporting, and events
* Create and keep up to date templates for all donor communications
* Draft solicitation and stewardship correspondence to existing and prospective donors

Events (in person and virtual):

* Provide support to engage individual and corporate donors in all aspects of special events including Annual Gala, cultivation activities, and stewardship events
* Assist in the overall planning and logistics of all events including timelines and work plans, budget management, cultivation and retention of event participants, preparation of materials, solicitation of corporate sponsorships, pre-and post-event follow up, and committee management
* Oversee coordination of vendor deliverables including event materials, caterers, entertainment, audio-visual, and consultants
* Assist in the tracking and management of table sales, ticket sales, and event sponsorships

Volunteer Management (in person and virtual):

* In collaboration with the team, develop volunteer activities and in-kind donation opportunities based on the needs of our programs
* Collect and maintain data regarding volunteer engagement
* Ensure development staff are at all volunteer events, to train volunteers, provide agency overview, plan and execute activities, and oversee all aspects of the event
* Create a calendar of potential volunteer events to share with prospective volunteers
* Assist with Winter Wonders, our annual holiday toy drive, in collaboration with our corporate donors and agency program staff

Qualifications:

The successful candidate will be a self-motivated, detail-focused, highly organized professional with the ability to work well under pressure and thrive in a fast-paced environment.

* Excellent organizational, problem-solving, and written communications skills are essential
* Experience successfully creating and maintaining processes for volunteer and donor engagement, tracking in-kind donations, event revenue and expenses, and others as needed
* A high level of computer literacy and experience using Raiser's Edge or other CRM
* Bachelor's degree and relevant administrative experience

Physical Requirements: Must have the ability to complete all standard administrative and support tasks including but not limited to climbing up and down stairs, operation of computers/phones/fax/printer/copy machine, and the ability to lift boxes, furniture, and equipment up to 30lbs. Must be able to travel from the various locations and sites of Sheltering Arms.
