Job description
Excellent skill-building opportunity for aspiring nonprofit professional who is eager to grow through a support position. Provides support for the Director of Institutional Grants in managing 40-50 grants per year with income over $4.5 million. Provides support for the Director of Planned Giving in all aspects of the Planned Giving program, building a planned giving pipeline, closing gifts from donor estates and working on future gifts.
Duties/Responsibilities:
· Database entry and management of hard and electronic records - accuracy, detail, efficiency, working with confidential information
· Basic understanding of gift agreements and other legal documents. Demonstrated knowledge in planned giving vehicles such as life income arrangements, bequests, and beneficiary designations.
· Tracking deadlines and requirements for grant contracts in database and spreadsheets and communicating to help staff ensure compliance
· Maintaining and managing estate documentation in hard files and electronic records
· Strong interpersonal skills and proactive communication with various departments around JTS: liaison with finance, legal, communications and other offices; support timely execution of legal documents
· Arranging meetings and donor site visits
· Writing and proofreading skills: drafting formal letters, working with templates for grant proposals and reporting,
· Formatting and layout involving intermediate-level word processing including working with photos, graphics, charts
· Supporting processes for submitting grant applications and reports: online portals and forms, gathering attachments and materials,
· Excellent interpersonal and verbal communications skills to develop and maintain cooperative relationships and convey information accurately, effectively and diplomatically with a wide variety of high-level internal and external constituents
· Strong research skills with ability to gather, analyze and organize information or circumstances to define problems and suggest solutions and/or methods of implementation
· Prepare correspondence, reports, and presentation materials with speed and accuracy; able to learn new technologies in a prompt and efficient manner
· Follow-up on payments, estate disbursements and documentation: professional emails and phone calls with external offices; represent JTS professionally with foundations, law offices, financial advisors
· Ability to create and manage all forms of planned gifts (from inception to termination) including gift illustrations and gift agreements.
· Ability to work collaboratively with attorneys, executors and trustees on issues related to planned gifts and gift acceptance.
· Demonstrates effective written and oral communication skills; shares information and seeks input from others; protects private and confidential information.
· Research of prospects, using our online resources to discover new prospects and information about current donors and families
· Tracking grant income, restricted accounts, and communicating with program staff about deadlines and requirements in order to meet contract requirements and schedules.

Minimum Requirements:
· BA degree
· 2-3 years minimum experience in a professional office role
· Self-starter
· Independent judgement
· Excellent interpersonal verbal and written communication skills
· Well organized with high attention to detail
· Proficiency in Microsoft suite of applications with ability Excellent knowledge of personal computer and software such as Windows, Word, PowerPoint, Excel, Teams, Outlook scheduler
· Adobe DC and InDesign
· Familiarity with basic use and function of relationship databases (we use Abila Millennium, but similar experience with Salesforce, Raisers Edge, etc would help)
