HIGHLIGHTS:

Under the supervision of the Assistant Vice President of Human Resources, NYC, the Human Resources Assistant supports the Human Resources department with the daily administrative operations of the Human Resources Office. The Assistant will manage/track confidential employee data and coordinate or complete employee requests while providing excellent customer service. This staff member will maintain professionalism in all areas, including confidentiality. The Assistant will also be responsible for the successful onboarding of all new staff.

HOURS PER WEEK: Non-Exempt, hourly position
  • Regular hours entail 8:00am-4:00pm or 9:00am-5:00pm schedule


FUNCTIONS:
  • Manages the onboarding process for all assigned new hires including but not limited to:
    • Initiating new hire communications in the form of phone calls, emails, and onboarding cloud-based programs
    • Ensures applicable drug screens are scheduled and evaluates the completion of each drug screen
    • Ensures all required documentation is completed by each new hire
    • Prepares, distributes, and reviews new hire and benefit materials with incoming staff
    • Confirms new hire start dates with relevant in-house departments as new hires progress through the different stages of onboarding
    • Prints and distributes new hire badges
  • Executing Form I9 and E-Verify for all employees, adhering to federal regulations and requirements
  • Electronically captures and mails employment documents to central Human Resources office as needed
  • Keeps inventory of and orders human resources supplies such as ID badges supplies, forms and lanyards, new hire onboarding materials, and office supplies
  • Enters in personnel information into HRIS.
  • Assist in external and internal audits for the Human Resources Department
  • Receives and distributes interoffice and external mail and packages as needed
  • Responsible for maintaining the privacy and confidentiality of Protected Health Information of current or former employees in any form (e.g., computer access, conversation, document) during and surviving the termination, expiration or cancellation of employment/association with the agency
  • Perform other duties as requested by your immediate supervisor or the President/Chief Executive Officer


Experience and Skills
  • Associates Degree in Business Administration or Human Resources or related degree required; Bachelor's degree
  • At least one year experience working in a Human Resource Office with knowledge of New York State Employment Labor Laws strongly preferred
  • Highly skilled in MS Office and web-based HRIS systems. Working knowledge of Paylocity and ATS programs is preferred
  • Bilingual English/Spanish a plus
  • Excellent organizational skills. Must be able to complete tasks independently and with high attention to detail
  • Excellent filing skills
  • Excellent communication and customer service skills and ability to work in a flexible team context
  • Ability to travel to other agency locations as required


PHYSICAL REQUIREMENTS:
  • Ability to exert force equivalent to lifting up to approximately 10 pounds and/or occasionally exert force equivalent to lifting up to approximately 20 pounds
  • Word processing: including responding to emails, composing letters, completing computerized documentation, etc.: This involves sitting at a computer for several hours a day
  • Completing paperwork -such as copying and stapling
  • Sitting for extended periods of time
  • Ability to give and receive information through speaking and listening skills
  • Able to drive and/or sit in vehicle/subway/trains/public transportation for an extended period of times to travel and walk distances
