In coordination with occupancy planners and other team members, provide essential office and in-field support for all MAC activities.

Administration and Reporting:

* In coordination with occupancy planners and other team members, provide essential office and in-field support for all MAC activities including:
* Set up project files, folders and templates at start of project, using Best Practices; maintain the folder throughout the project
* Schedule meetings/conference rooms, maintain calendars, etc. for project/account team (primarily account and RPM leads)
* Accurately assemble and proofread project and proposal documents as submitted to you for administration
* Ensure operations manual is in place and updated on account
* Receive and process client requests via email and FM systems
* Assist in entering and processing information via FM systems as part of the project/account issue tracking and reporting
* Compare vendor/subcontract invoices to purchase orders/subcontracts
* Perform data input into the FM systems to maintain occupancy information
* Scheduling appropriate manpower for move activities, overseeing packing/unpacking of laboratory contents, and supervising of labor in physical movement of office contents, modifying sequencing as needed
* Keep track of project hours and forecast utilization relative to assignment
* Manage project budget, schedule and deliverables in Project Management software applications
* Creating and distributing move instructions and managing suppliers (furniture, movers, telecommunications, IT, signage, etc.) as required

Relocation Project Management:

* Proactively manage BAU-related churn moves
* Coordinate scheduled events with property management, facilities management, all parties involved in the relocation
* Ensure client satisfaction throughout the relocation management process
* Ensure all relocation and FF&E management activities are performed in a manner consistent with documented processes and in accordance with the client's and JLL's policies and procedures
* Incorporate "best practices" into all project requests
* Coordinate work order and small project execution with installers/trades, including but not limited to furniture reconfigurations, artwork installations and space enhancements
* Identify outstanding issues associated with project and communicate to team lead
* Ensure data accuracy within move management systems
* Ensure compliance with all key performance indicators and meet assigned financial targets
* Participate in planning meetings hosted by the client, RPM, Occupancy Planning and other key stakeholders and prepare all necessary meeting agenda and action items.
* Ensure all project initiation, execution and closeout documentation are complete
* Compliance with all JLL and client policies and procedures, including but not limited to time & expenses, ethics and business practices

Client Communication and Management:

* Provide move signage, general move directions, and be present on campus or at the move site, available to answer questions and resolve post-move issues.
* Understand client protocols and develop communication appropriate to the client environment
* Speak in clear and concise manner when responding to client questions and follow-up with precise resolutions when reached by the team lead.
* Demonstrate good listening techniques and focus towards client satisfaction.
* Must exhibit strong customer service orientation and interact comfortably with a full range of JLL and client-based decision makers from direct supervisors to senior management

Leadership and Teamwork:

* Work with assigned team to achieve project objectives
* Exhibit enthusiasm and positive attitude with clients and peers
* Self-identify individual skill development and proactively seek training for improvement

Skills and Knowledge:

* Strong Microsoft Excel skills and FMS Systems or CAFM experience preferred
* Excellent written and verbal communication
* Detail oriented
* Ability to multi-task and work both in a team and independently
* Must have the ability to manage multiple priorities and quickly respond to changing priorities in the field
* Strong interpersonal skills with the ability to interact with executive level internal & external clients
* Familiarity with architectural drawings and furniture and space planning concepts (preferred)

Physical Work Requirements and Work Conditions

* Position work will primarily be at a client site in New York City with daily client and contractor interaction.
* Face to face and/or remote daily interpersonal interaction is usually required to perform the job.
* Required to be onsite to perform job
* Weekend and evening activity may be required to support oversight of move execution and coordination activities

Preferred Education and Experience

* Bachelor's degree from an accredited institution, preferred in Accounting, Business, Architecture, Engineering or Construction Management
* 1-3 years of facility, project or construction related experience in a Corporate Real Estate environment
* Background in project management, construction/furniture management, facilities management is desirable.
* Previous experience effectively supervising required service providers a plus
* Preferred Certifications: CAPM, PMP, NCIDQ, LEED, CFM
