Position Overview

We are currently recruiting for an Office Administrator to support the office and our Executives. You are proactive, detail-oriented and tech savvy and believe in providing exceptional customer service. You have excellent communication, planning and organizational skills, and believe that the best job is one where your day-to-day is full and varied. You are skilled at event planning but would prefer to utilize your skills during regular workweek hours.


Job Description

Role and Responsibilities

· High level support of C-Level Executives by rapidly managing all day-to-day matters on behalf of the Executives, including, but not limited to, preparing and coordinating Executive communications, writing and editing emails, calendar management, meeting logistics for internal and external appointments and immediately facilitating changes to daily events as necessary

· Professional representation and handling of all phone and inter-personal communications

· Maintain smooth operations of the office, including stocking the pantry and refrigerator, ensuring appropriate ordering of office supplies, and opening and distributing mail.

· Manage executive preparation for important internal and external meetings and events, ensuring Executives are prepared with all necessary materials for upcoming meetings (including A/V requirements) and that appropriate attendees have been invited, notified and reminded and catering organized when necessary

· Provides a bridge for smooth communication between Executives and all internal departments; demonstrating leadership individually and on behalf of the Executives to maintain credibility, trust and support with senior management staff

· Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the ability of the Executives to effectively lead the company

· Drive efforts improving the efficiency and effectiveness of the executive team

· Reviewing agreements and reports

· Maintaining comprehensive and accurate records

· Prepare reports and/or special projects, which may include data collection, coordination, final copy preparation and distribution

· Assist with onboarding and offboarding of employees

· Other duties and responsibilities as assigned


Qualifications and Education Requirements

· Bachelor's degree from a four-year college or university

· 2+ years of experience working in a professional environment.

· Excellent written and verbal communication

· Must be comfortable working both independently and in a team environment

· Tech-savvy in all Microsoft Office applications, particularly Teams, Excel and Word

· Ability to prioritize workload and meet deadlines.
