Job description

FirstService Residential New York is looking for a Property Coordinator (Community Support Services) to join our team in Manhattan! Job responsibilities include but are not limited to:

• Responsible for the processing of administrative property management tasks via tickets in Zendesk.
• Saving and Filing building and unit specific documents, contracts, closing statements, etc.
• Preparing and distributing building memorandums for emergency and informational purposes, i.e. elevator shutdowns, holiday schedules.
• Issuing arrears letters for unit owners and shareholders in default on their monthly common charge/maintenance payments.
• Processing Amenity Reservations for unit owners and shareholders, i.e. reserving a roof deck.
• Issuing monthly board meeting notices.
• Distributing letters to unit owners and shareholders who have broken a building rule; i.e. Floors not 80% covered in carpeting resulting in a noise complaint, leaving items in the common areas.
• Processing work order requests to building staff, i.e. hallway needs to be cleaned, lightbulbs are out.
• Setting up access to amenities for unit owners and shareholders; i.e. fitness center enrollment
• Preparing and distributing Annual Meeting Notice and election documentation per building governing documents.
• Processing alterations for unit owners and shareholders per the building specific agreements, city regulations, etc.

Qualifications:

• Act as the liaison between unit owners and shareholders, Board of Directors, and Property Management teams.
• Provide excellent customer service in order to delight our internal and external customers.
• Required to utilize FirstService Residential's proprietary software Connect, CamAcct. As well as property websites, Microsoft Word and Excel, UPS Campus Ship, Urban Express.
