Job description

Position Summary

The IT Customer Service Coordinator is responsible for the completion of software license purchases along with subscription and support renewal requisitions. Candidate will provide support for Service Now Request and Incident tickets associated with software licensing. The analyst will work with the IT Asset Management team to maintain the annual software support and contract renewal calendar.

Essential Job Functions:

  • Manage and maintain software maintenance coverage to ensure timely renewals.
  • Work with the sourcing and procurement groups to ensure requisitions and purchase orders are completed on a timely basis.
  • Validate and complete support renewal requisitions in PeopleSoft.
  • Track procurements throughout their lifecycle (request to payment) and update respective systems as necessary.
  • Maintain a renewal timeline for software maintenance support and contract renewals.
  • Ensure that supporting documents/artifacts (quotes, POs, contracts) for renewals and purchases are stored by software publisher in the shared drives to be used for software asset management and compliance.
  • Conduct spend analysis and present business cases to support/justify procurement decisions and activities.
  • Create, maintain and support department SOPs and procedures as it relates to this position.

Minimum Requirements:
  • Demonstrated knowledge of purchasing and financial methodologies, processes and practices.
  • Effective communication (verbal and written) and documentation skills.
  • Proven process improvement and problem solving skills.
  • Knowledge of and interest in relevant third party software applications.
  • Not afraid to learn new technologies and asking questions.
  • Demonstrated ability to analyze, research, and possess the ability to learn quickly and adjust to technology changes.

Education:

Associate's Degree in a technical or business field or other related and relevant field; or equivalent work experience.

Skills and Knowledge:

Proficiency in using the Microsoft office suite of applications, especially Excel and Word.

Business communication skills

Strong background in procurement, customer service and service management.

Experience with working in ServiceNow and PeopleSoft (or other procurement system)

Experience with an IT Asset Management program is a plus - products such as Flexera, Snow Software, ServiceNow.
