Position Overview
The Executive Assistant to the CEO will be responsible for high-level administrative support for the firm including, but not limited to, C-Suite executives. This dynamic role requires the ability to think critically, anticipate needs, and offer solutions to problems with a high level of professionalism and confidentiality. A meticulous attention to detail and strong organizational skills while multi-tasking and the ability to prioritize efficiently are also a must. The ideal candidate is exceptionally polished, professional, and a go-getter.
Job Responsibilities

  • Provide high level administrative support and personal assistant duties for CEO, C-Suite executives, and department managers
  • Proofread and distribute firm wide meeting notes from CEO
  • Answer telephone, route calls, take and distribute messages appropriately
  • Prepare conference rooms for meetings, clean and sanitize conference rooms after meetings
  • Greet clients and visitors with courtesy and enthusiasm
  • Provide general office support including copying, faxing, filing, office, and personal errands
  • Process and manage incoming and outgoing communications (fax, mail, packages, and email) following firm's compliance policies
  • Assist with planning and preparation of client events and employee events
  • Manage calendars, schedule meetings and appointments, including authorization and logistical coordination with facilities, security, IT, and caterers
  • Arrange complex and detailed travel plans and itineraries for business travel; manage and reconcile expense reports
  • Manage a high volume of tasks with keen attention to detail and a high degree of accuracy
  • Serve as a back-up to additional administrative professionals as needed (cover front desk or other tasks as needed)
  • Communicate effectively with internal team members, positively and professionally
  • Possible travel to assist CEO, executives, and direct manager
  • Perform other duties and special projects as assigned
  • Based on business need, this role is to be performed on-site, this is not a remote or hybrid work from home role

Minimum Qualifications
  • College degree preferred or a minimum of 7-10 years of relevant experience working with C-Suite personnel and/or training, or equivalent combination of education and experience
  • Excellent written and verbal communication skills
  • Proficient computer skills including Microsoft Office Suite

  • Financial Services background preferred but not required
