Description

This position is responsible for supporting the property in all local HR functions and providing clerical and administrative support to the Executive Director, staff and corporate accounting department. Required to work every other weekend at first. Also, given that we are in the healthcare industry, in order to protect both our team members and senior population we service, COVID vaccination is a mandatory condition of employment* and opportunities to receive the vaccine, free of charge are available at Agemark. *Exceptions are made on a case by case basis.

As the HR Assistant, you'll be responsible for the following:
- Recruit, post openings, screen resumes, and schedule interviews in coordination with director(s)
- Send offer or decline letters to applicants and set up orientation dates for new hires
- Manage the background checks for the properties and communicate results to Directors/Hiring Managers
- Fax DHHS child and adult abuse registry forms to Validity
- Explain new employee paperwork, handbook, policies and procedures, and obtain required signatures for all new employee forms including job descriptions
- Schedule pre-employment drug screen & back screen appointments. Send results to appropriate managers
- Oversee benefits enrollment process for employees including meeting deadlines, gathering all paperwork, assure online enrollments are being completed & send/file all appropriate insurance forms to the appropriate person
- Provide new employee with a name tag, welcome gift, and uniform shirt(s)
- Arrange for new employee to view training videos and provide Virtual Dementia Training; complete/send appropriate documentation
- Assist new employees in logging into Relias learning modules, and oversee completion of required online training
- Create and maintain all new hire personnel files
- Responsible for submitting the workers compensation reports and forms to HR
- Receive and organize invoices
- Obtain approval on invoice and scan approved invoices to corporate
- Submit invoice preferences and additional charges to Corporate
- Maintain move-in and move-out dates
- Manage all deposits
HR Assistant Qualifications
- 2 years of experience in Human Resources preferred
- Experience working with recruiting, onboarding & benefits preferred
- Experience working for multiple people in a fast-paced environment
- Prior experience in office functions and customer service is required
- Prior experience working with some bookkeeping and file maintenance is preferred
- Knowledge of recruiting, screening & candidate sourcing
- Knowledge of benefits and FCRA in relation to background checks
- Analytical abilities and aptitude in problem-solving
- Excellent written and verbal communication skills
- Proficiency in MS Office and able to learn new programs quickly
