Job description

Job Summary:

Provides assistance to the Operations Manager. Performs routine assigned tasks through the use of basic office skills in conjunction with direction from supervisor.

Duties and Responsibilities:

  • Answers all incoming calls, responds to routine inquiries, takes messages for and routes calls to appropriate individuals.
  • Provides general administrative support for the Operations Manager, including routine processing of invoices, data entry, preparation of miscellaneous reports, and customer service.
  • Enters all incoming service calls into system; coordinates repairs, sets appointments and communicates with construction team and customer to ensure all service issues are addressed.
  • Performs other clerical tasks such as establishing and maintaining filing systems, copying, filing and preparation and distribution of mass mailings.
  • Maintain required insurance and documentation for vendors.
  • Orders and maintains inventories for office supplies and other required materials.
  • Responsible for sorting, coding and processing of Accounts Payable invoices including data input; copying and filing.
  • Opens, sorts, date stamps and distributes incoming mail.
  • Performs additional assignments as requested by supervisor.

Required Skills

Skills and Abilities:

General office and administrative skills. Customer-service oriented with professional and courteous attitude. Good verbal and written communication skills for interaction with a variety of people inside and outside of organization; ability to follow oral and written instructions. Good working knowledge of Microsoft Word, Excel, Quick Books Online and BuilderTrend system experience is a plus.

Required Experience

Minimum Education/Experience:

High school graduate with basic academic and practical skills gained through school curriculum combined with at least one year of related work experience and/or training; general knowledge of routine administrative skills and office functions.

Pay: $18.00 - $20.00 per hour
