Job description
- Provide leadership and oversight of site team.
- Monitor staff performance and provide feedback and coaching as needed.
- Provide day-to-day direction to team.
- Model exemplary customer service and good resident interactions.
- Provide training and identify opportunities for additional training and skill development.
- Monitor and manage the financial performance of the portfolio.
- Follow procedures to increase on-time rent payment and minimize outstanding debt.
- Monitor aged receivables and ledgers to ensure accuracy.
- Call residents regarding outstanding balances to increase collections and reduce late/non-payments.
- Process evictions according to established procedures and maintain current and accurate records.
- Keep unit turn time within CPO standards in order to minimize vacancy loss and maximize occupancy by monitoring recon time, managing necessary extermination and utility changeover, and performing or supporting all leasing activities to ensure qualified prospects are converted to residents.
- Review and approve resident maintenance chargebacks monthly to ensure accuracy, and provide work order documentation with balance due letters.
- Process security deposit dispositions within required timeframes.
- Track financials to budget, including but not limited to, providing monthly variance reporting.
- Ensure lease compliance pursuant to applicable regulatory agencies and CPO policy, while providing excellent customer service.
- Conduct annual and interim recertification of tenant income based on program requirements of property.
- Investigate and resolve alleged lease violations using all resources available.
- Issue appropriate notices to residents in a timely fashion.
- Update management software system to keep track of alleged and observed lease violations, document actions taken and status updates.
- Refer any priority resident to supportive services according to established procedures, if applicable based on owner-provided services.
- Pursue eviction for lease violations according to established procedures.
- Maintain accurate and timely records, reports and files.
- Keep accurate and complete records and conduct filing regularly.
- Lead all agency audit inspections and coordinate all audit responses to be completed in a timely manner.
- Ensure compliance with Fair Housing Act.
- Prepare reports as requested.
- Enter work orders in software system from resident call-ins/walk-ins.
- Prepare reports of all incidents that occur on the properties according to established procedures.
- Conduct home inspections within set response schedules to establish and maintain a positive collaborative relationship with residents, while inspecting the unit for housekeeping issues or health and safety risks within established response times.
- Conduct the standard preventative maintenance inspections, documenting any maintenance and extermination issues, as required.
- Conduct follow up in response to preventative maintenance inspections as required.
- File unit inspections timely to ensure compliance.
- Conduct regular exterior property inspections and oversee maintenance of properties.
- Inspect all buildings and grounds weekly during property drives, walks and inspections, identify risk management issues, and enter work orders as needed.
- Maintain positive curb appeal.
- Collaborate with Maintenance to ensure work orders are completed in a timely manner and residents are satisfied by completing satisfaction surveys.
- Establish and maintain a cooperative working relationship with key community groups and vendors.
- Identify and maintain a list of key organizations and vendors.
- Attend neighborhood association meetings.
- Work cooperatively with eliminate the elements officers and other precinct officers and neighborhood liaisons to accomplish our common goal of increased safety in neighborhoods.
- Encourage/invite appropriate resident involvement with neighborhood groups.
- Respond in a timely manner to requests from community groups or City Citations.
- Manage services provided under contract, including but not limited to, extermination, cleaning and grounds.
- Provide all-hands-on-deck support to help the team complete required tasks and complete all other duties as requested.
