Job description

  • We are a local Fortune 100 Financial Services Brokerage looking for a Administrative Assistant to join our team.

Daily Activities Include:

  • Enter all applications and follow up as needed
  • Process unaligned paperwork, seminar requests and annuity requests
  • Prepare expense reports and all material needed for events
  • Manage marketing material and expiration date as well as salesforce, i.e. leads, documentation
  • Prep files before appts, including printing current account info reports
  • Call leads to schedule appointments and keep calendar updated - Keep me in front of clients not paperwork
  • Prepare and enter data for plan and create and document best practices
  • Order materials needed for business needs
  • Document salesforce, i.e. scanning all documents into client's file, document task
  • Schedule follow-up appointments from seminars
  • Manage seminar location schedules and office files as needed
  • Update all databases to have current prospect and client information, i.e. birthday, address, anniversary day
  • Special Projects - Round Table Discussion***
  • Maintain a well organized inbox, physical filing space and digital files
  • Collaborate resourcefully with internal contacts to accomplish processing and a great client experience
  • Learn and understand the types of financial and insurance products, ownership and beneficiary roles and account values
  • Process signed client documents and handle follow-up
  • Respond to incoming phone calls and emails
  • Debrief with financial advisor following client meetings and intiate/complete follow-up tasks
  • File and retrieve documents, digitally and physically
  • Handle sensitive, confidential, proprietary information with discretion
  • May be other tasks not listed.

SKILLS

  • 1 or more years of experience in administrative support that directly aligns with specific responsibility for this position
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)

Approximately 30- 35 Hours offered per week Monday - Friday with schedule to be determined at hire.

Job Type: Full-time

Pay: $35,000.00 per year

Education:

  • High school or equivalent (Preferred)

Experience:

  • Microsoft Office: 1 year (Required)
  • Customer Service: 3 years (Required)
