Job Description: Site Manager

Identification

The Site Administrator Position:

  • Is a regular full-time, non-exempt status position.
  • Supervised by the Chief Administrative Director of The Silver Lining Group
  • Supervises no one
  • Hourly position

Summary of Position Responsibilities and Duties

Primary job responsibility of the Site Manager is to manage the day-to-day administrative operations of the center and perform various administrative duties as assigned. In addition, they provide the clinical staff assistance in leadership, direction and decision making for center operations, as well as act as a point of contact between the center, parents/guardians, and the community.

Essential Functions and Duties

Specific "Job Duties" include but are not limited to:

  • Post inclement weather delays and closings on Facebook, TV, and Remind text message system
  • Assist with interviewing and hiring of personnel
  • Oversee the completion of health and safety trainings for personnel
  • Act as the new hire onboarding liaison
  • Conduct tours for perspective clients
  • Oversee client scheduling: speak with or email clients to schedule client appointments, monitor client attendance, add/cancel/manage client appointments in the practice management scheduler
  • Complete and maintain property acknowledgement forms when employees or clients are assigned computers/tablets
  • Coordinate billing corrections, ensure billing is completed daily, and maintain billing events spreadsheet
  • Monitor and implement P&P
  • Oversee site administrative operations
  • Address building needs (monitor cleaning and organization of building, monitor and coordinate maintenance, fire inspections, etc.)
  • Answer all non-programming staff/parent/community/school district questions within 2 days
  • Complete and monitor time off requests and timecard corrections
  • Track attendance for clients and staff
  • Submit supply orders to executive director.
  • Monitor and maintain client and staff correspondence binders, bulletin boards, master rosters, and Remind list.
  • Complete CARF compliance items including but not limited to collecting and reporting monthly outcome data, collecting incident reports and completing incident report tracking by client and data collation form, acting as Safety Officer, conducting and reporting health and safety drills, conducting and reporting internal and external safety inspections, and completing first aid kit inspections.
  • Coordinate holiday parties, visitors/guests, community outings
  • Create and modify documents using Microsoft Office Software, Excel, Word, etc.
  • Perform general clerical duties to include but not limited to photocopying, faxing, mailing, and filing.
  • Maintain client files: hard copy and electronic filing system.
  • Answer telephones and transfer to appropriate staff member, take messages when necessary, forward intake calls to SW department.
  • Meet and greet clients and visitors, sign in visitors and obtain a signed confidentiality agreement.
  • Receive and work towards goals developed by Chief Administrative Director.
  • Complete various projects as determined by the Chief Administrative Director and Executive Team.
  • Attend and participate in appropriate training sessions.
  • Communicate self in a professional manner with coworkers and parents.
  • Seek, receive and apply feedback appropriately and professionally.
  • Dress appropriately and arrive on time for work.
  • Read and follow all company policy and procedures found in the employee handbook and other documents.

Skills and Educational Requirements

Minimum qualifications for the position of a Site Manager require a high school diploma. All successful applicants will also possess excellent written and oral communication skills and be proficient in Office applications (word, excel, etc.). In addition, you must have experience in management of personnel, and demonstrate outstanding leadership, communication, and problem-solving abilities.

Job Type: Full-time

Pay: $15.00 - $17.00 per hour
