Due to the current pandemic, daily travel is minimal and voluntary to ensure the health and safety of staff. There is no overnight travel currently. In the future, this position may resume daily and/or overnight travel. All AHA offices are closed and staff are currently working from home. Offices will be reopening in October 2021; this position will resume to being based in the local office.

Responsibilities: The American Heart Association (AHA) has an excellent opportunity for a Development Specialist in our Tulsa, OK office. This position performs fundraising support and program assistance by providing on-going project management for Tulsas events and initiatives. Work involves event coordination, volunteer management, driving revenue, and performing internal support work while collaborating with staff.

Essential Duties:

Process, Monitor and Report on Data
As data is central to the success of the organization, the Development Specialist has the important responsibility of entering, maintaining, and reporting on critical data including donor information, donor payments, event, and prospect details.

  • General data entry in AHA data management systems
  • Processing event related expenses and invoices, monitoring budgets to ensure accurate record-keeping in compliance with established AHA procedures
  • Monitoring data for completeness and accuracy, correcting irregularities as needed
  • Researching, generating, and compiling weekly and special reports as needed
Meeting and Event Logistics (Virtual and/or In-Person)
Whether in-person or virtual, the Development Specialist is responsible for helping to plan and execute a variety of large-scale events and smaller meetings which will appeal to both current and potential donors.
  • Creating event communications such as save the date cards, invitations, e-blasts, event collateral, and other marketing materials as needed in coordination with AHA communications professionals and customer service team
  • Coordinating vendors and the contract process for assigned events to ensure adherence to AHAs contractual obligations, best practice guidelines and procedures. Acting as a point of contact for vendors, service providers, and other external contacts
  • Recruiting, scheduling, and training volunteers to execute event logistics, managing assignments on-site during large fundraising events
  • Assisting in the development of materials for internal and external meetings
Administrative Services
The Development Specialist is a key element in supporting a cohesive, efficient, and productive workplace.
  • Meeting regularly with directors to maintain open lines of communication to ensure objectives are being achieved
  • Maintaining a high level of service by responding knowledgeably to customer inquiries both internally and externally in a timely manner
  • Providing advanced administrative support such as calendar management and preparation for meetings
  • Preparing presentations, correspondence, and documentation in a timely manner, including meeting minutes
  • Completing critical aspects of stewardship including follow-up and acknowledgement letters, personal correspondence, and other approaches to cultivating meaningful relationships
  • Performing other duties as required to support Executive Director and serving as a resource for other members of the Heart Ball and Go Red For Women teams
Fundraising Support
The Development Specialist is vital to achieving the Heart Ball and Go Red For Women fundraising goals.
  • Supporting the Heart Ball and Go Red For Women teams by prospecting, identifying, and securing corporate and community participation for events
  • Assisting in the fundraising development process by conducting exploratory meetings, sales calls, and creating strategies to develop current and new donors
  • Driving peer-to-peer fundraising through goal setting, recruitment of coaches and team captains, and motivating participants to fundraise for AHAs mission
  • Achieving assigned revenue goals by developing and maintaining relationships with corporate and community partners
Qualifications: Required Skills:

  • Bachelors degree from an accredited university preferred.
  • Minimum of 1-2 years related experience in fundraising/sales.
  • Skilled in conducting basic research including gathering and assimilating information pertinent to assignments using the internet and other resources.
  • Excellent communication skills both verbal and written to establish and maintain effective working relationships with all levels in the organization, as well as external stakeholders
  • Effective at managing multiple priorities involving multiple customers
  • Intermediate to excellent use in computer software programs including Word, Excel, Outlook and Power Point as evidenced by formal course work, training, or previous work experience
  • Managing volunteers, volunteer stakeholder groups and distribution lists experience
  • Knowledge of business letter writing format, style, and protocol.
  • Experience maintaining and organizing large amounts of data with precise attention to detail
  • Knowledge of the principles and practices of complex meeting management
  • Ability to anticipate and satisfy customer needs; to work independently and take initiative; to creatively and effectively solve problems; to meet and interact with all levels of AHA staff and volunteers.
  • Ability to work evenings/weekends when necessary with reliable transportation
  • Able to lift at least 20 lbs. from the ground to waist level with or without reasonable accommodation
  • Must be at least 18 years old
