Position Title: Project CoordinatorFLSA

Reports to: Director of Project Management
Major Function: Project Coordinators at VIA are directly responsible for coordination of the translation, graphics, engineering and publishing tasks required to produce multilingual documentation, web sites and software packages for our customers. Project coordinators schedule and manage multiple projects simultaneously for a set of client accounts. Duties include coordinating with translators, editors, and desktop publishers; copy editing, formatting documents, ensuring compliance with our translation quality control procedures, and meeting deadlines
Essential Functions:
- Manage client projects to ensure client satisfaction and on-time delivery
- Schedule and manage multiple translation projects (of varied complexity) simultaneously
- Obtain project specifics from client, ensuring schedule, cost and quality objectives; work with sales team to ensure clarity of project and client expectations
- Coordinate the translation, graphics, engineering and publishing processes required to produce multilingual documentation, web sites and software packages
- Coordinate internal and external resources (translators, editors, desk-top publishers, software engineers, QA and software testers) within budget and turn around time constraints, including some delegation of work to global operations teams
- Track assignment and progress of action items, proactively identify issues/potential issues, and take action to prevent time delays or increased costs
- Update client/supervisor/upper management regularly on project progress and any changes in scope, timeline, or cost, as needed, and if necessary follow proper guidelines for processing Change Orders with customers
- Check quality of deliverables to standard as required and format documents in certain software programs (MS Word, Excel, PowerPoint, Visio)
- Ensure the timely and appropriate distribution of accurate project information
- Deliver final project to client in established format and within established timeframe
- Attend team meetings to analyze past projects for lessons learned
- Ensure compliance with strict translation quality control procedures
- Follow up with client post-project to determine client's level of satisfaction and future needs
- Maintain records of expenses and approve payment for suppliers. Review and approve supplier invoices
- Track milestones and/or percent complete and inform accounting as these levels are attained so client invoices can be sent in a timely manner
- Attend internal staff meetings to discuss various aspects of current or future projects
Additional Responsibilities:
§ Stays informed on trends and best practices in the language services and localization industries
§ Makes recommendations for internal process improvement.
§ Assumes other special activities and responsibilities from time to time as directed.
Required Qualifications:
- Bachelor's degree and/or less than 2 years equivalent experience in project management or related activities
- Advanced PC/Mac computer skills, including MS Office
- Key competencies: Communication skills, Learning Agility, Organization & Planning, Quality and Quantity Output, Customer Orientation, Team Player
- Foreign language skills
- Experience working with subcontractors and sales people
- Very detail-oriented and flexible; Able to juggle multiple tasks under pressure in a fast-paced environment
- Good sense of humor and 'can do attitude'
- Energetic self-starter with initiative and creative approach to problem solving
